Exporting reports to file in Data Mining

Data Mining enables you to export report information to files for all clients who passed the current or most recent search. In the Export dialog, you can choose to export the information in DIF or Excel format for use with spreadsheet applications or in ASCII format for use with word processing applications. In addition, you can choose a custom report layout in which to present the information.

Follow these steps to export reports that contain data from your current or most recent search to a file.

  1. Do one of the following:
    • If you want to complete a new search in order to produce an export report that includes information for all clients that pass, click the Export report option in the Print Selection and Client Search dialog, select or create a report, and complete a search.
    • If you want to produce an export report that includes information for all clients that passed the last search you completed, choose Tools > Export Report in the Data Mining window.
  2. In the Export Report dialog, select the clients for whom you will export a report.
  3. Click the Continue button to open the Export dialog, where you can set export options.
  4. Select the name of a custom report from the Report layout drop-down list. The column headings in the selected report will display in the pane below.

    Note: For the 1040 Individual database only, Data Mining provides several additional report layouts.

  5. To show the custom report's column headings in the exported file, mark the Include column headings checkbox.
  6. Click the appropriate file format option:
    • Click DIF to export data for use with spreadsheet applications.
    • Click ASCII to export data for use with word processing applications.
    • Click Excel to export data for use with Microsoft Excel.
  7. To change the location of the new file, click the Change location button, navigate to the appropriate drive and path, and click OK.
  8. To change the name of the new file, highlight the text in the Name of file to be created field and enter the new name. Data Mining automatically adds the correct file extension.

Tips

  • If a file attempts to open in the wrong format after you export it, right-click on the file icon and choose Open With… and select the correct application from the list. 
  • The number of clients available from the search and the name of the search most recently conducted are displayed at the top of the Export dialog.
