Generating and printing mailing labels in Data Mining

You can use Data Mining to create mailing labels for all clients who passed the current or most recent search.

If you want to complete a new search and create mailing labels for all clients that pass, click the Mailing labels option in the Print Selection and Client Search dialog, choose a search, and click Continue; the Mailing Labels dialog opens.

If you want to print mailing labels for clients that passed the last search, from the Data Mining window, choose Tools > Mailing Labels to open the Mailing Labels dialog.

Use the Mailing Labels dialog to choose the clients for whom you will print labels, then click Continue to format mailing labels and preview or print them.

Follow these steps to print mailing labels generated for clients who pass the current or most recent search.

  1. Do one of the following:
    • If you want to complete a new search in order to print mailing labels for all clients that pass, click the Mailing labels option in the Print Selection and Client Search dialog and complete a search.
    • If you want to print mailing labels for clients that passed the last search you completed, choose Tools > Mailing Labels in the Data Mining window.
  2. In the Mailing Labels dialog, select the clients for whom you will generate mailing labels.

    Notes

    • All clients who passed the current or most recent search are listed in the Clients Selected pane when you open the Mailing Labels dialog. To remove a client from the Clients Selected pane, highlight the client and click the Remove button.
    • The name of the current or most recent search is shown at the top of the Mailing Labels dialog. Clients that were sent letters via email in the most recent search will not be listed.
  3. Click the Continue button to open the Print Data Mining Mailing Labels dialog, where you can set printing options and print the labels.

    Note: To select a different printer in the Print Data Mining Mailing Labels dialog, click the Printer button, select the correct printer from the Printer field, and click OK.

  4. Do one of the following:
    • Select the label size from the drop-down list for the Label size field.
    • Click the Define label size button to open the Define Label Size dialog, where you can add new label sizes to the list of available labels.
  5. Select the number of copies to print in the Copies group box.
  6. Click either the Of each label or the Of pages of each label option.
  7. Mark the Print barcode on labels checkbox to print a bar code in addition to the address on the mailing labels, or mark the Print labels with client name only checkbox to print only the client name and not the address.
  8. Mark the Print labels in all capital letters checkbox to print the text of the labels in all capital letters.
  9. Mark the Print labels with client ID checkbox to print the client ID on the label.
  10. If you want to sort the client labels during printing, mark the Sort by option and choose the desired selection from the adjacent drop-down list.
  11. Click the Print button.

Notes

  • To preview the mailing labels before printing, click the Preview button.
  • If a client letter was printed for the most recent search, the mailing labels will be sorted in the same order as the client letters. For example, if the client letters were sorted by client name, the mailing labels will automatically be sorted by client name.
  • Mailing labels will not be printed for clients that were sent letters via email in the most recent search.
