Use this dialog to view the status of electronic returns that you have created, transmitted, or selected to transmit for electronic filing. You can also print electronic filing status reports, access the IRS e-file website, access bank product information, and access the IRS Electronic Federal Tax Payment System (EFTPS) website using the buttons in this dialog. Click the + next to a client's name in the status list to view additional electronic filing information.

To open this dialog, choose Utilities > Electronic Filing Status, or click the Electronic Filing Status Electronic Filing Status button button on the toolbar.

Notes

  • The Electronic Filing Status option is not available in the Utilities menu and the Electronic Filing Status button is not enabled when you electronically file a return using a third-party transmitter. If you are not using a third-party transmitter, choose Setup > User Preferences, click the Misc tab, and mark the Use Thomson Reuters as the ELF transmitter checkbox. Confirm that this checkbox is marked on all workstations.
  • The Use Thomson Reuters as the ELF transmitted checkbox is only available only if your firm has purchased a third-party transmitter license.
  • Column preferences, filters, and focus by entity and state in this dialog are specific to each user. Client specific information and displays such as hidden clients, password protected clients, and a client's e-file status, will be the same for each user. 

Fields & buttons

Lists the electronic filing status of all clients whose electronic files you have created. Use the buttons in the dialog to customize the columns and rows in the status list.

You can filter the status list by each column in the primary row in the dialog. Click the Filter Filter button button in the desired column to choose an option from the drop-down menu. If a client you choose does not meet the specified filter for the column, the client will not be displayed in the status list. The following are the default options available in the drop-down menu.

  • All: View all entries for the column.
  • Custom: Open the Enter filter criteria for [column] dialog. In this dialog, specify an Operator and an Operand to define the custom criteria. For example, to define a custom filter in the Return column to display all clients except clients who have Arizona state returns, enter Does not contain in the Operator field and enter AZ in the Operand field.
  • Blanks: Display only returns for which the selected column is blank.
  • NonBlanks: Display only returns for which the selected column is not blank.

Note: If a filter is applied to a column, and the preference for that column is later changed to Hidden or Secondary, access the filter in the Filter column in the Column Preferences dialog.

Example: Filter the status to limit the view to just accepted electronic files where Form 9325 has not yet been printed. In the Status column, click the Filter Filter button button and select Return accepted by taxing agency. In the 9325 column, click the Filter Filter button button, and select Blanks.

Use these checkboxes to restrict the status list to specific types of returns, such as 1040 or 1120.

Note: Mark the Other checkbox to include 990 and 5500 returns in the status list.

Click the arrow for the By Status drop-down list to select predefined filters to display which returns appear in the Electronic Filing Status dialog.

Click this button to clear all filters you have applied to columns in the status list.

Click this button to save all of the current selections in the Filter icons to the custom filter. To later select the custom filter, select Custom from the By Status drop-down list.

Other buttons

Click the Unlock all returns with master password Unlock all returns with master password button button to open the Master Password dialog. Enter the master password to unlock all password-protected returns in the status list for the current session. The TIN column will be blank for locked clients.

Click the Column Preferences Column Preferences button button to open the Column Preferences dialog. In the Column Preferences dialog, set preferences for columns based on the information you view most frequently. Specify a column in the status list as Primary to display the column on line 1, as Secondary to display the column on line 2, or as Hidden to remove the column from the display.

Notes

  • The default Primary columns include Client ID, Client Name, TIN, Status, Entity, Return, 9325, Signature Document, and Date Modified.
  • The Linked column displays linked states that are attached to the federal return.

The Show hidden / non-hidden returns Show hidden / non-hidden returns button is the Show hidden returns button by default and is enabled only if you have hidden returns in the status list.

  • Show hidden returns: Click this button to display all hidden returns in the status list.
  • Show non-hidden returns: Click this button to display all non-hidden returns in the status list.

Note: To show multiple hidden returns at the same time or to show multiple non-hidden returns at the same time, select several clients in the status list. To do so, press the SHIFT key and click the desired clients to highlight multiple adjacent clients, or press and hold the CTRL key and click the desired clients to highlight multiple clients who are not listed next to each other.

This button is the Hide return button by default. If you hide returns and then show hidden returns, this button changes to the Restore return button.

  • Hide return: Highlight a client in the status list, and click the Hide return Hide return button button to hide the client's return. This feature is provided for hiding returns that have been rejected and subsequently paper filed rather than electronically filed.
  • Restore return: Click the Show hidden returns button to display the list of hidden returns, highlight the returns you want to restore, and then click the Restore return Restore return button button to restore the returns to the status list.

Note: You can hide or restore multiple returns at the same time by selecting several clients in the status list. To do so, press the SHIFT key and click the desired clients to highlight multiple adjacent clients, or press and hold the CTRL key and click the desired clients to highlight multiple clients who are not listed next to each other.

Highlight a client in the status list, and click the Bank product info Bank product info button button to access the Refund Advantage website to view the status of the 1040 client's Electronic Refund Disbursement Service.

Note: This button is enabled only for 1040 clients with information in the Bank column.

Highlight a client in the status list, and click the Print Print button button to open the E-File Status Print dialog to print Form 9325, an ELF history report, a basic information report, or a detailed information report. You can print these items on paper or store digital copies in a document management application such as Onvio Documents or FileCabinet CS. 

Note: You can print reports for multiple clients at the same time by selecting several clients in the status list. To do so, press the SHIFT key and click the desired clients to highlight multiple adjacent clients, or press and hold the CTRL key and click the desired clients to highlight multiple clients who are not listed next to each other.

Click the Lock Lock button button next to a password-protected client in the status list to open the Client Password dialog. Enter the client password to unlock the password-protected client for the current session and to view the client's status details. The TIN column will be blank for locked clients.

Click the plus sign next to a client in the status list to expand the client's additional detail information. If additional electronic filing status details are available for a client, a Details Details button button is available in the Status column and the Comment column. Click the Details button, if available, to open the Details dialog, which provides information (including the relevant reject codes / business rules) about all of the errors in the return.

Click the Paper Filed Paper Filed button button in the Status column for a client to change the current status of the electronic file to “Paper Filed” and to log a client status event of “Paper Filed” for the client.

Notes

  • This option is available for any client who does not have a current electronic filing status of “Return transmitted to CS” or “Returned accepted by taxing agency.”
  • Click OK at the warning prompt to change the status of the selected electronic file to paper filed. If you do not want this prompt to open the next time you click the Paper Filed button, mark the Do not warn me again before allowing me to change the status to “paper filed” checkbox in the Warning dialog.
  • To change the status from "Paper Filed" to an electronic filing status, recreate the electronic file for the client.

Click the View View button button next to a client in the status list to open the electronic file. Note that the electronic file for most applications is in XML format and may not open if the .XML file extension is not associated with a reader, such as Internet Explorer.

Click this button to open the main electronic filing page on the IRS website.

Click this button to open the Electronic Payment Options home page on the IRS website to review electronic payment options offered by the IRS.

Click this button to open a topic that links to resources for troubleshooting error codes and reject codes / business rules and to a demonstration video of the features of the Electronic Filing Status dialog.

Mark this checkbox if you want to save your current settings when you close the dialog.

Note: You should clear this checkbox before you close the dialog if you change any settings that you do not want to save, such as filtering the Status column to check only for rejected returns.

Click this button to select all clients in the status list.

Click this button to deselect all clients in the status list.
