California Schedule W-2 prints with a paper-filed Form 540 return when wage income or California withholding is reported on the return. The Suppress California e-file for return field on the CA ELF screen must be marked for Schedule W-2 to print.

The schedule prints and includes detail from federal Screen W2 under the following circumstances:

  • Each unit of federal Screen W2 is for a single state. That is, no single W-2 contains information for more than one state.

The schedule prints only the taxpayer name and SSN (omitting W-2 detail) under any of the following circumstances:

  • Any unit of federal Screen W2 includes wages or withholding from more than one state.
  • There are no units of federal Screen W2 but California withholding from other sources is reported on the California return.

For paper-filed California returns with California withholding, California Schedule W-2, Wage and Tax Statement must be attached to the return. California Schedule W-2 is intended for paper-filed returns only. There is no need to provide Schedule W-2 for a return filed electronically as all of the withholding detail required by CA FTB is included in the electronic record.

Schedule W-2, Wage and Tax Statement, is intended to replace the need to attach actual copies of the taxpayer’s Form W-2 when there are no out-of-state wages or withholding on any of the taxpayer’s W-2 forms. Therefore, Schedule W-2 is completed when there are only California wages and withholding on all W-2 forms. If any W-2 has more than one state or includes out-of-state wages or withholding, Schedule W-2 will only print the taxpayer’s name and Social Security number. Instead, the taxpayer should attach all of their W-2 forms to Schedule W-2.
