The UltraTax CS Bar Code Scan utility enables you to scan bar codes on W-2s and Schedules K-1 (for 1120S, 1065, and 1041 entities) that your clients submit for the preparation of their tax returns. Once the documents are scanned, you can accept the data into your UltraTax CS client data files via data sharing.

Notes

  • Only Schedules K-1 that were not prepared by your firm should be scanned. If your firm prepared the 1120S, 1065, or 1041 returns in UltraTax CS, the shareholder/partner/beneficiary K-1 data is already available via Data Sharing.
  • Because bar codes do not contain the items that are presented in statements accompanying the Schedule K-1s, you will need to manually enter this data after scanning.
  • If you use UltraTax CS in the Virtual Office CS environment, you may need to install the Bar Code Scan utility locally to run it.

Bar code scanner requirements

Your bar code scanner must meet the following requirements in order to work with this utility.

  • The bar code scanner must have a serial (standard RS-232) or USB connection to your computer.
  • The bar code scanner must have the capability to decode two-dimensional (2D) bar codes in PDF417 format.

Bar code scanners that support 2D bar codes in PDF417 format may not be configured to decode that format by default. Follow the manufacturer's instructions for configuring the bar code scanner. Any questions related to the configuration of the bar code scanner should be directed to the manufacturer.
