Adding criteria-based print conditions

The client documents provided with UltraTax CS contain pre-defined print conditions, but you can add your own print conditions. The print conditions include variables; when you highlight text within a document and choose Format > Print If, that particular text prints only if the condition you choose is true for the client. For example, you can set up a condition that compares a variable (such as AGI) to an amount or to another variable.

Follow these steps to add additional print conditions.

  1. From the Setup menu, choose the entity (for example, 1040 Individual).
  2. Click the federal or state tab.
  3. Click the appropriate button (for example, Letters & Emails or Filing Instructions).
  4. In the [Document Type] dialog, find the document you want to edit, and click Open.
  5. Highlight the text in the document that you want to print only when clients meet specified criteria.
  6. Choose Format > Print If.
  7. Click the New button.
  8. In the New Print-If dialog, enter a name for this print if statement in the Name of print condition field.
  9. If you want the statement to compare variables to amounts (such as comparing AGI to $100,000), complete these steps. Otherwise, skip to the next step.
    1. From the If field in the Variable to Amount Comparisons group box, select the variable (such as [AGI]).
    2. From the next field, select a conditional operator (such as greater than).
    3. In the next field, enter the desired amount (such as $100,000).

    Note: You can repeat this step (up to three times) using the remaining rows of fields in the Variable to Amount Comparisons group box.

  10. If you want the statement to compare variables to variables (such as [net overpayment] to [to refund]), complete these steps. Otherwise, skip to the next step.
    1. From the If field in the Variable to Variable Comparisons group box, select the variable (such as [net overpayment]).
    2. From the next field, select a conditional operator (such as equals).
    3. From the next field, select another variable (such as [to refund]).

    Note: You can repeat this step (up to three times) using the remaining rows of fields in the Variable to Variable Comparisons group box.

  11. If applicable, use the Electronic funds transfer field to set up a print condition based on electronic filing criteria set in the EFT Payment fields in the client's Screen Letter.
  12. If applicable, use the Return type field to restrict this print condition to a specific type of return (such as 1040-A or 1040-EZ). Note that this field is not available for all entity types.
  13. If applicable, use the Entity type field to restrict this print condition to an entity type (such as 1120 C Corporation or 1120 S Corporation). Note that this field is not available for all entity types.
  14. If you will use the current print if statement for custom paragraphs that will print in filing instructions that either printed separately or combined and in slipsheets printed vertically, offset, or bulk, select the appropriate option from the Document Format field. If you will not use the current print if statement in both types of instructions, skip to the next step.
  15. Click the Description button to enter a ToolTip for the current print if statement. This ToolTip will appear when you hover the mouse pointer over the current print if statement in the Document Editing window.
  16. Click OK. The print condition you added now appears in the list in the Print If dialog.
  17. Do one of the following:
    • To attach this statement to the text highlighted in step 5, click OK.
    • To close the Print if dialog without attaching this statement to any text, click Cancel.
