Examples of sharing data from Accounting CS or CSA with UltraTax CS

Using the data sharing feature, Creative Solutions Accounting will share general non-financial data with UltraTax CS, and will share most W-2, 1099R, 1099MISC, and 1099-INT financial data with UltraTax/1040.

Note: To share data with Accounting CS, Creative Solutions Accounting (CSA), Practice CS, and UltraTax CS Source Data Entry, specify the correct UltraTax CS data location (for example C:\WINCSI\UT13DATA) from within the integrated application. For more information, see the help for CSA or Practice CS.

Accounting CS and CSA will only share data from one W-2 or 1099R per taxpayer. If a taxpayer is issued more than one W-2 or 1099R from the same client in Accounting CS or CSA, only the last W-2 or 1099R that was processed will be shared.

Sharing W-2 financial data

Employer A is a payroll client in Accounting CS or CSA. Taxpayer 1 is an employee of Employer A and an UltraTax/1040 client. The accounting data for Employer A includes a W-2 for Taxpayer 1. When the W-2s are printed from the accounting application, the W-2 data becomes available to UltraTax/1040. When you open the UltraTax CS client, you will be prompted to add the new W-2 unit via the Data Sharing - Pending Updates dialog. After clicking the Add Unit button, use the Data Sharing Update dialog to review Taxpayer 1's pending W-2 financial data from Employer A's data in Accounting CS or CSA, and decide whether to accept or reject the pending updates. The updated data for the fields that you accept will transfer to the applicable fields in Screen W-2 in UltraTax/1040.

Sharing 1099R financial data

Taxpayer 2, who is an UltraTax/1040 client, receives a 1099R from CSA Client B. When the 1099R's are printed from Accounting CS or CSA, the data will be available to UltraTax CS. When you open Taxpayer 2's return in UltraTax CS, you will be prompted to accept the new 1099R data via the Data Sharing - Pending Updates dialog. After clicking the Add Unit button, use the Data Sharing Update dialog to review Taxpayer 2's pending 1099R financial data from Client B's data in Accounting CS or CSA, and decide whether to accept or reject the pending updates on an item-by-item basis. The updated data for the fields that you accept will transfer to the applicable fields in Screen 1099R in UltraTax/1040.

Sharing general data

Employer C is a Accounting CS or CSA client. Taxpayer 3 receives a W-2 from Employer C. When W-2's are printed from the accounting application, the W-2 data (including the addresses for employer and employee) are available to UltraTax CS. From within UltraTax CS, choose File > New Client to create Taxpayer 3's UltraTax CS data. When you enter Taxpayer 3's TIN in the Client Properties dialog, the general or non-financial data for Taxpayer 3 will automatically transfer into the appropriate fields in the UltraTax CS client data.

The preparer should diligently review all data that is shared among clients.
