Onvio Client Center is a secure client-facing portal that you can use to exchange documents and other files with your clients.

Use this dialog to export your UltraTax CS client and contact data to Onvio and to create a new Client Tax Center in Onvio for each client, or to request that a client upload a document to their existing Client Tax Center.  When you create a new Client Tax Center via this dialog, you can have UltraTax CS send a registration email to the Tax matters contact for the selected clients (which is the taxpayer for 1040 returns) so the clients can create a login and password to access their new Tax Center.

Note: Before you can select a client in this dialog, you must enter a name and an email address for that client. You can enter the name on the appropriate federal Screen Contact and the email address in the Setup > Client Communications dialog. You must also enter a unique Social Security Number for each client; otherwise, there will be an export error.

Open this dialog by choosing Utilities > Onvio Integration. This dialog is only available if you are licensed for Onvio.

Fields & buttons

Use this pane to select the clients for whom you want to create Tax Centers in Onvio, or to whom you want to send a request for documents. Clients whose IDs are displayed in red text are lacking names and/or email addresses in UltraTax CS; enter the name on federal Screen Contact and the email address in the Setup > Client Communications dialog. You cannot select a client from this pane until you have entered this information.

This pane lists the clients that you selected from the left pane, for whom you want to create Tax Centers in Onvio or to whom you want to send a request for documents.

Focus group box

Mark one or more of the entity type checkboxes to include the corresponding clients in the client list. For example, To include only 1040 clients in the list, clear all checkboxes except the 1040 checkbox.

Select a preparer, reviewer or staff member from the drop-down list to limit the list to clients whose returns were assigned to a specific person.

This field displays the selected status event by which the client list is focused and the sorting criteria for that event. To limit the client list by a different status event or to change the sorting criteria, click the Modify button to open the Modify Event Focus dialog.

Options group box

Mark this checkbox to export general contact information for the selected clients to Onvio. If the selected client already exists in Onvio, there is no need to select the client on this dialog because updates to general client information are shared automatically between Onvio and UltraTax CS.

Note: The other fields in the Options group box are disabled unless this checkbox is marked.

Mark this checkbox to create a Tax Center in Onvio for each of the selected clients. Marking this checkbox will also cause UltraTax CS to send a registration email to the Tax matters contact for the selected clients (which is the taxpayer for 1040 returns) so the clients can create a login and password to access their new Tax Center.

Note: This field is disabled until you mark the Populate Onvio client(s) and contact(s) checkbox.

Mark this checkbox and use the adjacent field to set the default tax year for the selected clients' Tax Centers in Onvio. The default tax year determines the year designation displayed in the Tax Documents and Tax Questionnaire tabs in Onvio, as well as the default year that is selected on the Upload Documents tab. You can choose among three years: the current tax year (2018) and the two subsequent years.

Note: This field is disabled until you mark the Populate Onvio client(s) and contact(s) checkbox.

Mark this checkbox to have UltraTax CS send an email requesting documents to the selected clients that includes a link to each client's Tax Center. Use the accompanying Due date and Description fields to specify a different deadline for the clients to provide the requested documents (by default, this is set to one week from the request date) and to enter a note describing the documents required.

Notes

  • If you mark the Request documents from client checkbox, you must enter a description in the accompanying text field before you can proceed.
  • These fields are disabled until you mark the Populate Onvio client(s) and contact(s) checkbox.
