The Import Spreadsheet functionality in UltraTax CS enables you to import data into statements from a Microsoft Excel workbook stored on your hard drive or in FileCabinet CS or from the Windows Clipboard. Using this feature, you can maintain client data in a spreadsheet and import it into UltraTax CS for tax preparation without reentering the data. This also allows your clients to provide spreadsheets with information like stock sales, which you can import without having to reenter the data into UltraTax CS.

Spreadsheet data can be imported into any statement dialog in UltraTax CS. The columns in the spreadsheet do not need to exactly match the columns in the UltraTax CS statement dialogs (they do not need to have the same text for the column headings and do not need to be in the same order) because as part of the importing process, you create a spreadsheet mapping by linking the spreadsheet columns with the appropriate UltraTax CS statement dialog column.

Note: You can import data into statements from sources other than Excel, but the information must be copied from the external source to the Windows Clipboard first.

Outline of the import process

The following list outlines the overall process of importing data into UltraTax CS statements from Excel. Click the links below for details about each step of the process.

  1. Prepare the spreadsheet data. To import data into a statement in UltraTax CS, you need to prepare the data in Excel or another spreadsheet application.
  2. Select the spreadsheet to import. Once you have prepared the data, begin the import into UltraTax CS using the Import Spreadsheet dialogs.
  3. Create or update column mappings. In order for the spreadsheet data to link to the appropriate UltraTax CS statement column, you need to create a column mapping in UltraTax CS. If you have already created mappings, you can choose to use an existing one.
  4. Verify the data. Prior to completing the import, any data determined by UltraTax CS to be invalid must be verified. You can then import the verified Excel data into the UltraTax CS statement.
