Entering firm URLs and Web Client Organizer email addresses

By default, the greeting contains a direct link to the client's web organizer, which is hosted on the Thomson Reuters servers. To use Web Client Organizer, you need to enter two sets of email addresses: the clients' addresses that you send the electronic organizer greeting to (entered in the Client Communications dialog or Screen Contact), and the firm's address to receive email notification when completed electronic organizers are ready for retrieval. You can also choose to have your clients access their web organizer from a link on your website.

Note: Clients that have None selected for the organizer delivery method in the Client Communications dialog are not available for Web Client Organizer processing even if you enter an email address. If you want to send a web organizer to the client, select Web or Web - Print only from the drop-down list in the Organizer Delivery column in the Client Communications dialog.

Receiving email notification of completed web organizers

Complete these steps to receive an email notification whenever a client completes a web organizer and it is ready to retrieve via CS Connect.

You must complete these steps before you send web organizers to your client's portals. Otherwise you won't receive notifications.

  1. Choose Setup > Client Communications.
  2. Click the Web Delivery Options button.
  3. If desired, mark the Automatically send an email notification to each client when their Web Organizer or Tax Return is transmitted via CS Connect to their NetClient CS portal checkbox.
  4. Use the Address email from drop-down list to choose the appropriate return address. You can select Firm, Preparer (as specified in Setup > Office Configuration > Preparers tab), Reviewer (as specified in Setup > Office Configuration > Reviewers tab), or Staff (as specified in Setup > Office Configuration > Staff tab) email address.
  5. Mark the Receive email notification of completed Web Organizers checkbox.
  6. Mark the Firm, Preparer, Reviewer, and/or Staff checkboxes to include the desired recipients in the email notifications.
  7. Click OK to close the Web Delivery Options dialog.
  8. In the Client Communications dialog, enter the return email address in the Firm email address field.
  9. Click OK to close the Client Communications dialog.

Notes

  • By default, the return email address is set globally so that the same return email address applies to all users.
  • Returns that are not assigned to a preparer will use the firm email address as the return address by default.
  • Returns assigned to preparers, reviewers, or staff members who do not have an email address will use the firm email address as the return address by default.

Entering your firm's URL

Complete these steps to have the greeting instruct clients to access their Web Client Organizer from a link on your firm's website rather than through the host URL.

  1. Choose Setup > Client Communications.
  2. Click the Web Delivery Options button.
  3. Enter your firm's website address or URL in the appropriate field in the Web Delivery group box.
  4. Click the HTML button to get the HTML tag for the link on your website.

    Note: If you are unfamiliar with HTML code, you should not enter your firm's URL.

  5. Click OK to close the Web Delivery Options dialog.
  6. Click OK to close the Client Communications dialog.
