Criteria-based text, or a "Print if" statement, is text in client documents that prints only if the client's data meets specific criteria. (In the document, the text is preceded by a {Begin If: [print condition]} line and followed by an {End If: [print condition]} line, so you know where the conditional statement begins and ends.)

There are two types of print if statements available, those that specify a preparer and those that compare variables (such as AGI) to amounts or other variables.

The client documents provided with UltraTax CS contain criteria-based text and pre-defined print conditions, but you can add your own text and print conditions. For more information about adding print conditions, see Adding criteria-based print conditions.

Criteria-based text that specifies a preparer

Follow these steps to ensure that specific text prints only if the client is assigned to a specific preparer.

Note: Choose File > Client Properties to assign a preparer to a client.

  1. From the Setup menu, choose the entity (for example, 1040 Individual).
  2. Click the federal or state tab.
  3. Click the appropriate button (for example, Letters & Emails or Filing Instructions).
  4. In the [Document Type] dialog, find the document you want to edit, and click Open.
  5. Enter text or find existing text that you want to print only when a client is assigned to a specific preparer.
  6. Highlight the text.
  7. Choose Format > Print If.
  8. Click the Preparer option.
  9. Highlight the preparer in the list pane and click OK.
  10. Choose Document > Save.
  11. Choose Document > Exit.
  12. Preview or Print the document.

Criteria-based text that compares variables to amounts or other variables

Follow these steps to ensure that text will print only if the client's data meets the condition you have specified, such as whether a certain form was prepared or whether the client's AGI exceeded a specified amount.

  1. From the Setup menu, choose the entity (for example, 1040 Individual).
  2. Click the federal or state tab.
  3. Click the appropriate button (for example, Letters & Emails or Filing Instructions).
  4. In the [Document Type] dialog, find the document you want to edit, and click Open.
  5. Enter text or find existing text that you want to print only when a client's return contains specific information.
  6. Highlight the text.
  7. Choose Format > Print If.
  8. Click the Variable option.
  9. Select the appropriate condition from the list. For example, select "Capital Loss C/O" to have the text print only if a capital loss carryover exists for the client.

    Note: You can click the New button to add a new condition or click the View/Modify button to modify a condition that you added. Note that you cannot modify the print conditions provided with UltraTax CS. For more information, see Adding criteria-based print conditions.

  10. Click OK.
  11. Choose Document > Save.
  12. Choose Document > Exit.
  13. Preview or Print the document.
