You can save time extending your clients' returns by selecting multiple clients to extend at once. This process is called creating a batch extension.

Summary

Before you create a batch extension, you'll enter payment information and due dates for extensions that need it. Once you create the batch extension:

  • UltraTax CS automatically marks the option to calculate extensions in each client, reducing data entry time.
  • You can choose which clients to include in the batch and leave others to extend individually.
  • You can extend in multiple batches. For example, you can extend clients ready for extension first and the rest of your clients later.

Before you start

Review the automatic calculations and make changes to any returns that need them.

Due date

The due date of the extension defaults to the IRS due date. To change the date, go to the Payments folder > Ext screen and use the Extended due date field.

Tax liability and payment amount

Choose Setup > 1040 Individual > Extensions, open the Extensions dialog, and mark the Create an extension without total tax liability or payment amounts box to include the following information in the electronic extension:

  • Zero estimate of total tax liability.
  • Zero payments, except the amount you enter in the Payments folder > Est screen > Paid with 4868 field.
  • The taxpayer name, address, and Social Security number.

If you unmark the box, the application uses the data you entered in the client to automatically calculate the payment and tax liability.

  • The calculated amount appears in the Payments folder > Est screen > Paid with 4868 ext or the Paid with 2350 ext field, depending on which extension form was calculated.
  • To force a different amount, go to the Payments folder > Ext screen and use the Estimate of total tax due (Force) and Balance due on extension (Force) fields.

Electronic funds withdrawal

  1. On the 1040 screen in the General folder, complete the Daytime telephone number field.
  2. On the Bank screen in the General folder, complete the Direct Deposit/Electronic Funds Withdrawal section.
  3. On the ELF screen in the Electronic Filing folder, complete the Electronic Funds withdrawal for extensions requested payment date field.
  4. On the PIN screen in the Electronic Filing folder, complete the Form 4868/2350 Extension PIN Information section.

Note: In addition to federal returns, UltraTax CS/1040 supports electronically filed extensions for Arizona, Connecticut, District of Columbia, Kentucky, Louisiana, Maryland, Massachusetts, New Jersey, New York, North Carolina, Pennsylvania, Tennessee, and Texas.

Due date

The due date for the extension defaults to the IRS due date for the return type and year-end date. To use a different date, go to the Payments folder > PmtExt screen and use the Extended due date field.

  • The calculated amount appears in the Payments folder > PmtExt screen > Paid with extension field.
  • If you want to force a different amount, use the Balance due on extension (Force) and Estimate of total tax liability (Force) fields.

Electronic funds withdrawal

  1. On the 1120 screen in the General folder, complete the Client phone number field.
  2. On the Bank screen in the General folder, complete the Account Information section.
  3. On the ELF screen in the Electronic filing folder, complete the Extension Information section.

Note: In addition to federal returns, UltraTax CS/1120 supports electronically filed extensions for California, Connecticut, District of Columbia, Florida, Illinois, Iowa, Kentucky, Louisiana, Massachusetts, Maryland, Mississippi, New Jersey, New York, New York City, North Carolina, Pennsylvania, Tennessee, Texas, Utah, and Wisconsin.

Due date

The due date for the extension defaults to the IRS due date based on the return type and year-end date. To use a different date, go to the Payments folder > Pmt screen and use the Extended due date field.

Tax liability and payment amount

  • The calculated amount appears in the Payments folder > Pmt screen > Amount paid with extension field.
  • If you want to force a different amount, use the Balance due on extension (Force) and Estimate of total tax liability (Force) fields.

Electronic funds withdrawal

  1. On the 1065 screen in the General folder, complete the Telephone number field.
  2. On the Bank screen in the General folder, complete the Account Information section.
  3. On the ELF screen in the Electronic filing folder, complete the Extension Information section.

Note: In addition to federal returns, UltraTax CS/1065 supports electronically filed extensions for Arkansas, California, Connecticut, District of Columbia, Illinois, Kentucky, Louisiana (composite only), Maryland, Massachusetts, Mississippi, Missouri (Kansas City only), New Jersey, New York, New York City, North Carolina, Pennsylvania, Tennessee, Texas, Utah, and Vermont.

Due date

The extension due date defaults to the IRS due date based on the return type and year-end date. To use a different date, go to the Payments folder > PayExtn screen and use the Extended due date field.

  • The calculated amount appears in the Payments folder > PayExt screen > Paid with extension field.
  • If you want to force a different amount, use the Balance due on extension (Force) and Estimate of total tax liability (Force) fields.

Electronic funds withdrawal

  1. On the Bank screen in the General folder, complete the Account Information section.
  2. On the ELFExt screen in the Electronic Filing folder, fill out the Form 7004 and 8868 – Extension Information section.

Due date

The extension due date defaults to the IRS due date based on the return type. To change the due date of the return, go to the Payments folder > Ext screen and use the Extended due date field.

Tax liability and payment amount

  • The calculated amount appears on the Payments folder > EstT or EstPF screen > Paid with extension field.

    Note: The Paid with extension field for 4720 extensions is located on the 4720 screen in the Excise folder.

  • If you want to force a different amount, go to the Ext or ExtPF screen and use the Balance due on extension and Estimate of total tax liability fields.
  • The 990-T and/or 4720 extension isn't generated unless data is entered or an extension payment (including 0) is entered on the Ext or ExtPF screen.

Electronic funds withdrawal

  1. On the ELF screen in the Electronic Filing folder, fill out the Extension Information section.
  2. On the ELF-2 screen in the Electronic Filing folder, complete the Electronic Funds Withdrawal Information section.

Note: In addition to federal returns, UltraTax CS/990 supports electronically filed extensions for Maryland and New York.

Steps to create batch extensions

To create batch extensions, complete the following steps.

  1. Choose File > Print Extensions, and mark the Paper or Create electronic file boxes.
  2. Click the Clients button.
  3. For each client you want to include in the batch, highlight it and click Select.

    Note: Any client that is open by another user on the network will not be listed.

  4. Click OK.
  5. Choose Options > Extension Print Options tab, and mark the First extension or Second extension option.
  6. Click OK.
  7. Click the Print or E-File button at the bottom of the Print dialog.

    Note: If you get an e-file error, you must resolve it before you can continue. To do so, see Resolving e-file errors.

Next steps

If you are e-filing, transmit the electronic file using CS Connect. If you printed the extensions, you can start the process of mailing them or delivering them to clients.
