UltraTax CS enables your firm to set the security options that meet the needs of your firm.

Security options overview

Your firm can use either standard security options or advanced security options.

Standard security options: When you choose standard options, you create two levels of access. One level is for those who know the master password, and one level is for those who do not.

Advanced security options: When you use advanced security options, you create many levels of access. You can limit access to specific UltraTax CS features by setting privileges for pre-defined or created groups and then assigning users to one or more groups.

To begin using either standard or advanced security options, choose Setup > Security and enter the master password.

Notes

  • You must create a master password to use all security options. By creating a master password, you can limit the users who can perform certain tasks.
  • If you created a master password and used advanced security features in the prior-year version of UltraTax CS, these settings and the password automatically proforma to the current-year version of UltraTax CS. Standard security settings do not proforma.
  • By default, UltraTax CS opens the standard Security Configuration dialog, but you can access the advanced Security Configuration dialog by marking the Enable advanced User/Group Security checkbox.

Standard security options

Follow these steps to enable standard security options.

  1. Choose Setup > Security, and enter the master password.
  2. In the Security tab in the Security Configuration dialog, mark or clear the checkbox for each security option as appropriate. Note that if you highlight an option, a brief explanation of the option appears in the box at the bottom of the Security tab.
  3. Click OK.

Tip: If you forget the master password, you can get a temporary password by calling CS Customer Service at 800.968.0600. You can enter the temporary password in the Enter Master Password dialog, click the Modify button, and then reset the master password.

Advanced security options

Follow these steps to enable advanced security options.

  1. Choose Setup > Security, and enter the master password.
  2. Mark the Enable advanced User/Group Security checkbox.
  3. View the information in the Security Configuration dialog that opens and click the Yes button. (Click the No button to return to the Security tab without enabling advanced security.)
  4. Click the Groups tab and add a group, if necessary. For more information, see Assigning advanced security groups.
  5. In the Groups list, highlight the group for which you want to modify security privileges.
  6. Click the Edit Group button.
  7. Configure privilege settings. To do so, select Allow or Restrict from the drop-down list next to each privilege.
  8. If security options for this group are similar to those for another group, choose the similar group from the Assume privileges of group field and click the Apply button. You can further customize the assumed privileges in the drop-down lists in the Settings column.
  9. Click OK.
  10. Assign users to advanced security groups.

Notes

  • You can delete user groups and users from advanced security at any time; however, you cannot change the name or description for groups defined by UltraTax CS, which include the $Administrators, $Guests, and $Unauthorized Users groups. Show me.
    $Administrators

    Members of this group can access all areas of UltraTax CS. You cannot modify privilege settings for this group.

    $Guests

    By default, members of this group can access any area of UltraTax CS that was allowed with standard security options. However, you can modify the privilege settings for this group.

    Note: When you enable advanced security options, standard security settings are transferred as privileges for the $Guests group. Advanced security options are available in the Setup > Security Configuration > Security tab.

    $Unauthorized Users

    Members of this group are denied access to all areas of UltraTax CS. You cannot modify privilege settings for this group.

  • You cannot change privilege settings for the $Administrators or $Unauthorized Users groups. Users in the $Administrators group can always access all areas of UltraTax CS. Users in the $Unauthorized Users group will always be denied access to UltraTax CS.
