This procedure explains how you can transfer funds from your client's bank account via ACH files to a holding account (firm's bank account) for the purpose of making payments on their behalf.

Note: If the firm impound bank account is set up to limit fund processing to printed checks only, then unprinted payroll checks and open liabilities will not be displayed in the Funding dialog. In that situation, you will need to print the checks or pay the liabilities before completing step 2 in the procedure below.

  1. Enter payroll checks into either the Actions > Enter Batch Payroll Checks or Actions > Enter Transactions screen.
  2. Choose Actions > Process Direct Deposit.
  3. In the Process Direct Deposit screen, click the Funding button.
  4. In the Funding dialog, mark the checkboxes next to all the transactions for which you want to create ACH files. Click the plus and minus signs to expand and collapse the transaction lists.

    Note: You can choose to select or deselect all transactions by right-clicking anywhere within the screen.

  5. With all appropriate transactions selected, click the Process button.
  6. Click Done to close the Funding dialog.
  7. In the Process Direct Deposit screen, the funded transactions are selected by default. Mark the checkboxes next to any other transactions for which you want to create ACH files. Click the plus and minus signs to expand and collapse the transaction lists.

    Notes

    • You can choose to select or deselect all transactions by right-clicking anywhere within the screen.
    • To display the funding details (fund type, payee, and amount) of transactions associated with funds, select the transactions and click the View Funding Detail button.
    • By default, after transactions are processed in the Funding dialog, the application automatically selects those funding transactions in the Process Direct Deposit grid when the Funding dialog closes, making it easy to immediately process ACH files. If you want the application to also select any associated transaction amounts, mark the Automatically select associated direct deposit transactions after processing funding transactions checkbox in the Process Direct Deposit Options dialog.
  8. With all appropriate transactions selected, click the Create Files button.
  9. In the Process Direct Deposit File dialog, you can view the information that will go into the header records for the ACH files. The only field you can modify is the File Name field. To accept the information and create the ACH files, click OK.
  10. Transmit the ACH file to your financial institution to complete the funding.
  11. Choose File > Print Checks and print the payroll checks.

You can show your clients their impound bank activity, which includes deposits and payments, by printing the Impound Client Activity report.
