Scenario

You're prevented from editing a document because its status is stuck as checked out.

Causes

Usually a file is checked out when it’s opened in Edit mode, then checked back in when it’s saved back to GoFileRoom and closed. But the following may prevent the file from being checked back in.

• When the user who opened a file for editing had an application or system crash, or a loss of network connection or power.
• When a user has tried to edit an email message saved to GoFileRoom it will remain checked out to that user.

Solutions

If the edited file still exists you can save it back to GoFileRoom. If it does not exist, you can either undo or override checkout.

Save the edited filed to GoFileRoom and close it

1. Find the edited file by using one of the following methods.
   • In MS Word or Excel, select the GoFileRoom tab, then Display Local Files.
   • To find Office files in Windows Explorer, open C:\Users\[username]\AppData\Roaming\GoFileRoom\GFROffice\docs.
   • To find PDFs in Windows Explore, open C:\Users\\AppData\Roaming\GoFileRoom\GFRAcrobat\Docs.
2. Double-click the file to open it.
3. Select Save to GoFileRoom on the ribbon.
4. Select Save to GoFileRoom and close document.

Undo checkout with GoFileRoom ControlPanel

If you undo checkout, you'll lose edits to the file made after it was last saved back to GoFileRoom.

1. Open the GoFileRoom ControlPanel.
2. Select the Local Files tab.
3. Tick the checkbox for the checked out file.
4. Select Options then Undo Checkout(s).
5. Select OK.

Override checkout using the Document Tracking report

If you override checkout, you'll lose edits to the file made after it was last saved back to GoFileRoom.

1. Select Reports then Document Tracking.
2. Select a drawer from the Drawers drop-down list.
3. Select Checked Out from the Status drop-down list.
4. Select Search.
5. Tick the checkbox for the checked out file to select it.
6. Right-click the checked out file and select Override Checkout from the context menu.
