Use the Statements tab to select the customer statements to print. The statements that are available for selection include those for customers with an outstanding balance for the specified activity range.

Choose File > Print Accounts Receivable Forms and then click the Statements tab.

Fields & buttons

(Required) Select the date to use as the statement date for the printed statements. If you select Current month end date (default), Prior month end date, or Today, you cannot modify the date in the associated date field. If you select Custom, you can enter or select any date.

(Required) Select the date range for which to print the statement activity.

  • Month-to-date: includes activity for the month-to-date based on the date selected in the Statement date field. The date range fields display the first day of the month and the date selected in the Statement date field.
  • Quarter-to-date: includes activity for the quarter to date based on the date selected in the Statement date field. The date range fields display the first day of the quarter and the date selected in the Statement date field.
  • Year-to-date: includes activity for the year to date based on the date selected in the Statement date field. The date range fields display January 1 of the current year and the date selected in the Statement date field.
  • Prior year month-to-date: includes activity for the month to date for the prior year based on the date selected in the Statement date field. The date range fields display the first day of the month for the prior year and the date selected in the Statement date field for the prior year.
  • Prior year quarter-to-date: includes activity for the quarter to date for the prior year based on the date selected in the Statement date field. The date range fields display the first day of the quarter for the prior year and the date selected in the Statement date field for the prior year.
  • Prior year year-to-date: includes activity for the year to date for the prior year based on the date selected in the Statement date field. The date range fields display January 1 of the prior year and the date selected in the Statement date field for the prior year.
  • Custom Range: includes activity for the dates you select in the date range fields.

The grid in the Statements tab includes two tiers — client and customer. By default, the tiers are collapsed when you open this screen.

  • Client tier
    • Client ID/Client Name. (Read only) These fields display the ID and name of clients that have customers with statements that meet the criteria specified in the Statement date and Statement activity date range fields, above.
    • Sort Order. (Required) Select the order in which you want to print the statements — by Customer ID or Customer name. By default, Accounting CS uses the sort order selected for the client in the Forms Processing section of the Accounts Receivable tab of the Clients screen. But you can select a different sort order for this print session.
    • Layout. Select the appropriate layout to use when printing invoices for this client. By default, Accounting CS uses the layout selected for the client in the Forms Processing section of the Accounts Receivable tab of the Clients screen. But you can select a different layout for this print session.
  • Customer tier

    Click the plus (+) sign next to the clients for whom you want to print statements. The grid expands to display the customers with outstanding AR balances for the activity date range selected above. All fields in this tier are read only.

    • Customer ID/Customer Name. These fields display the ID and name of the customers with outstanding AR balances for the activity date range selected above.
    • Oldest Balance. This field displays the age (in number of days) of the customer's oldest transaction.
    • AR Balance. This field displays the customer's outstanding balance for the activity date range selected above.
