Entering used accruable benefit hours on payroll checks

Alerts and notices

This article provides tips on how to enter an employee's accruable benefit hours used correctly, whether you are using the Actions > Enter Transactions screen or the Actions > Enter Batch Payroll Checks screen.

When an employee uses an accruable benefit and the hours are entered correctly on the payroll check, accruable benefit balances are affected as follows.

  • Used hours are increased.
  • Available hours are decreased.

Entering used accruable benefit hours in the Enter Transactions screen

  • When you enter payroll check information in the Pay section on the Main tab, use the horizontal scroll bar to scroll to the right. To the right of the Reg Hours, OT Hours, and DT Hours columns, you will see the columns for the employee's first two accruable benefit items.

  • Enter the number of used accruable benefit hours in the appropriate column, in the same way that you would enter overtime hours worked.
  • To enter hours for more than two accruable benefit items, click the Ellipsis ellipsis button image button next to the pay item description to open the Payroll Item Distributions dialog.

Note: You can use the Enter Batch Payroll Check Options dialog to customize the number of accruable benefit items (and other payroll items) that display in the Rapid tab grid.

  • Enter the number of used accruable benefit hours in the appropriate column.
  • To enter hours for more than two accruable benefit items, click the Detail tab.
    1. In the Pay section, click the Ellipsis ellipsis button image button to the right of the pay item description.
    2. The Payroll Item Distributions dialog contains the columns for the accruable benefit items that did not fit in the Rapid tab. Enter the hours in the appropriate column.

Note: Enter used accrual benefit hours as hours, not amounts.
