Use the Manage Files dialog to view ACH files and transactions and to do the following:

  • Preview selected files or transactions
  • Reverse the transactions for a client or for individual employees.
  • Recreate the ACH files
  • Preview or print the ACH Detail Report or the ACH Condensed Report

Note: You cannot delete the files or transactions from the application. If you choose to manually remove an ACH file from the default folder location (X:\WinCSI\Accounting CS Data\ACH, where X: is the location on which Accounting CS Shared Files are installed), the file still displays within the Manage Files dialog.

Choose Actions > Process Direct Deposit. In the Process Direct Deposit screen, click the Manage Files button.

Fields & buttons

Use the filtering drop-down list to reduce the number of files displayed in the grid. You can choose to display only the ACH files created today; in the current month, quarter or year; or the prior month, quarter, or year.

The grid contains a list of all ACH files listed by client, and you can filter the list using the filtering field above the grid.  Click the plus sign to the left of each file to view the individual transactions within the file. You can either mark the checkboxes for individual files or transactions or right-click within the screen and choose either the Select All / Deselect All option to select or deselect all of the transactions.

The ACH file grid includes a Group by field that enables you to group items in the grid. For details, see Grouping items in data-entry grids.

Click the Preview File button to open the Direct Deposit File Viewer dialog and preview the selected files or transactions.

Click the Recreate File button to recreate the selected file. Regular direct deposit files will be recreated in the default file location. If you are using Kotapay to transmit ACH files, the selected file will be recreated and transmitted to Kotapay.

Click the Condensed Report button to open the ACH Condensed Report dialog, which displays the ACH Condensed Report and allows you to preview the report or to print it.

Click the Detail Report button to open the ACH Detail Report dialog, which displays the ACH Detail Report and allows you to preview the report or to print it.

To reverse the entire ACH file or individual transactions within a file, mark the checkbox next to the file or transaction and then click the Reverse Transaction button. The Process Direct Deposit File dialog will display and you can either accept or modify the file name and click OK to create the reversed file.

Note: The Reverse Transaction button is unavailable for prior ACH transactions that were already reversed, any ACH file entry that has an addenda record, and any ACH files that have a method of Kotapay.
