Entering location and department descriptions for a Write-Up CS or Trial Balance CS client

In order to set up locations and departments, you need to have a Chart of Accounts mask that accommodates locations and departments. If you have not done this yet, click the General Ledger tab of the File > Client Properties dialog and define a Chart of Accounts mask that fits your client.

To set up locations and/or departments follow this procedure:

  1. If you are in Add or Edit mode, click Enter or Cancel to return to Browse mode.
  2. When the Chart of Accounts window is active, choose Enter Location and Department descriptions from the Edit menu or from the F3 or right-click context menu. (If the Chart of Accounts mask is set up only to accommodate either Locations or Departments, only the relevant tab will appear in the Locations and Departments dialog.)
  3. Enter a number to represent the location in the number field of the Locations tab (if applicable). This number must coincide with the Chart of Accounts mask. For example, for a client that has a Chart of Accounts mask with one L, you would be able to enter numbers 1-9 to correspond with that L.
  4. Enter a location description and click the Enter button to save the entry (optional).
  5. Enter a number to represent the department in the number field of the Departments tab (if applicable). This number must coincide with the Chart of Accounts mask. For example, for a client that has a Chart of Accounts mask with one D, you would be able to enter numbers 1-9 to correspond with that D.
  6. Click the Enter button to save your entries, then click OK to exit the Locations and Departments dialog.
