The Trial Balance Report for a Trial Balance CS client lists the balance for a selected basis type for each account. You may choose sort order, detailed or summary format, and ranges of data including current and prior periods. You may also optionally include tickmarks, workpaper reference, zero balance accounts, and separate debit/credit columns.
Open the File > Print Reports dialog by using one of the following methods: (1) clicking the Print button on the toolbar, (2) clicking the Print Reports icon on the shortcut bar, (3) choosing Print Reports from the File menu, or (4) pressing the CTRL+P shortcut keys. On the Reports tab in the Print dialog, double-click Trial Balance to move this report to the Selected pane. With Trial Balance still highlighted, click the Options button to open the print options dialog for this report.
Special information
- For consolidated clients, the subsidiary ID is displayed in the column heading of the Trial Balance Report.
- For clients with locations or departments present in the Chart of Accounts mask, column headers in the Trial Balance Report reflect the location or department description.
- For clients with locations and departments present in the Chart of Accounts mask, column headers in the Trial Balance Report display the location description in the first row and the department description in the second row of the header.
- If the Trial Balance Report is printed with a page break after each location and/or department, the location and/or department description is displayed at the top of the page.
Print options
Print options for a report may be saved as part of a report profile. Otherwise, print options automatically revert to their default settings when you unselect a report for printing or exit the Print dialog (unless the Save report options checkbox is marked in the Print tab of the Setup > User Preferences dialog).
General tab
Select the desired basis type from the drop-down list:
- Unadjusted
- Adjusted (default selection)
- Report
- Tax
- Other
Select the desired sort order from the drop-down list.
For Trial Balance CS client with GL
This field is enabled only when Summary is selected in the Format field. Default = 1
Enter an integer between 1 and 4 (for a quarterly client), or between 1 and 12 (for a monthly client), or between 1 and 52 (for a weekly client), and so forth. The allowable range is dependent on the number of processing periods specified in the General Ledger tab of the File > Client Properties dialog.
This field is enabled only when Summary is selected in the Format field. The program uses this date to determine the current period for the report. It must equal an existing period end date.
Defaults to the end date for the current period.
Enter the number of blank lines to print after each account. (Defaults to zero)
Print zero balance (Default = OFF)
To include accounts with zero balances, mark this checkbox and also choose one of the following options:
- Accounts with activity (default selection)
- All accounts
Mark the type(s) of amounts to print on the Trial Balance Report.
- Balance (default = ON)
- Budget (default = OFF)
- Adjusted Budget (default = OFF)
For Trial Balance CS plus GL client only
These checkboxes are enabled only when Summary is selected in the Format field.
Mark the desired data range(s) to include:
Choose one of the following options:
- Single year (default selection)
Also choose one of the following options from the drop-down list:
- Current (default selection)
- Prior
- 2 years ago
- 3 years ago
- 4 years ago

- 9 years ago
Note: The maximum number of years available depends on the number of years of balance history specified in the General Ledger tab or the Trial Balance tab of the File > Client Properties dialog.
- All years
Prints the number of years of balance history specified in General Ledger tab or the Trial Balance tab of the File > Client Properties dialog.
- Range of years: From/To
Also choose the starting and ending years for the range by selecting the desired options from the drop-down lists.
The following optional information may be included in this report. Mark the checkbox for each item that you wish to include in the report.
Loc/Dept Selection tab
(available only when the Chart of Accounts mask includes locations and/or departments)
You may choose to include either all or selected locations/departments in this report. The Available (left pane) and the Selected (right pane) sections of this dialog are enabled only if the Print selected locations/departments option is marked.
This pane is enabled only if the Print selected locations/departments option is marked at the top of this tab. All locations and/or departments in the client's database are listed here (except those already listed in the Selected pane). Double-click a department and/or location to select it for inclusion in this report.
This pane is enabled only if the Print selected locations/departments option is marked at the top of this tab. All locations and/or departments that have been selected for inclusion in this report are listed here.
You may choose one or more of the following options for this report:
- Combine location/department accounts
Location and department accounts are grouped together on the Trial Balance Report.
- Page break after each location/department
A page break is inserted in the Trial Balance Report after accounts for each selected location and/or department is printed.
Note: This option is available only if the sort order is set to Account number on the General tab of the Trial Balance Report Options dialog.
- Print locations/departments in separate columns
This option is available only when the sort order is set to LocDept grouped by combining accounts and both the Print Combining Accounts checkbox and the Print Combining Accounts Only checkbox are selected on the General tab of the Trial Balance Report Options dialog.
