Data sharing Client Notes in Practice CS

Practice CS client notes can be used to enter and view notes for your clients. Client notes can be automatically shared between programs. Client notes are available in Practice CS, UltraTax CS, FileCabinet CS, and Fixed Assets CS.

Setup

For Client Notes to be shared the following must be true:

In order for client notes to data share, all the CS applications involved must be available on the same resource. For local, network, or Terminal Server (TS) installations, a desktop setup may need to be performed. If you use Virtual Office/SaaS, the programs must be enabled in your NetStaff profile.

For local, network, or TS installations of Practice CS

Run or rerun the desktop setup.

  1. In Windows Explorer, browse to the location where the CS program is installed.
  2. Find the CS product folder. The folder names are as follows.
    • UltraTax CS: UTYY, where YY is the version of UltraTax.
    • FileCabinet CS: CABINET
    • Fixed Assets CS: DSW
  3. Open the DESKTOP folder.
  4. Right-click Setup or Setup.exe and choose Run as administrator.
  5. Follow the prompts to complete the workstation installation

For Virtual Office/SaaS

Verify that the CS application icon appears on your Virtual Office/SaaS home page.

  • If it does appear, you can continue to the File Locations troubleshooting section below.
  • If it does not appear, a member of your firm with NetStaff administrative access will need to enable the CS application for you. For step-by-step instructions on this process, see Modifying a NetStaff CS user's access to applications through Virtual Office CS.

    Note: If you are not sure who has NetStaff administrative access, you can contact Web Services Support to find out who your Firm Administrator is.

  1. Choose Setup, then Clients.
  2. Select the client.
  3. Click the Edit button.
  4. Select the Main tab and enter the EIN or Social Security Number for the client in the EIN/SSN field. If there is already a value in this field, verify that the value matches the EIN/SSN entered in the client in the other CS application.
  5. Click Enter.

Add, edit and/or view notes

You can add, edit, and or/view client notes in the Notes tab of Client Setup or in the Client Notes portlet.

Client setup

  1. Choose Setup, then Clients.
  2. Select a client.
  3. Click the Edit button.
  4. Select the Notes tab. You should see a tab for Practice CS and each other CS product that is installed on this workstation.
  5. Select the tab for the CS product you would like to add notes for.
  6. Click the Add Note button to add a timestamp to the note. 
  7. Enter your note.
  8. Click the Enter button to save your note.

Client Notes portlet

  1. Choose View, then Client Dashboard.
  2. Select the client from the drop-down at the top of the dashboard.
  3. Find the Client Notes portlet. If you do not have a Client Notes portlet, click the Select Portlets link in the upper-right corner of the dashboard to add it. 
  4. Select the tab for the CS product you would like to add notes for.
  5. Click the Add Note button to add a timestamp to the note.
  6. Enter your note.
  7. The note is automatically saved.

Print notes

Client notes can be printed by clicking the printer icon in the notes toolbar.
