Updating drawer status

The manner in which you assign the FileCabinet CS drawer status indicators (Active, Inactive, and Defunct) is determined by your firm's guidelines. When you apply different statuses to drawers, you can focus the drawers list in the Folders window by status. You can also focus lists of drawers by status in dialogs that include drawer lists, such as the Backup and Copy Drawers dialogs.

In FileCabinet CS, all drawers are initially assigned the Active status, but you can change the status of any drawer to Inactive or Defunct. Follow these procedures to change the drawer status for individual or multiple drawers.

Updating status for individual drawers

  1. In the Folders list, select the drawer for which you want to update the status.
  2. Choose File > Drawer Properties or click the Drawer Properties button in the toolbar.
  3. Select the new status from the Status field drop-down list.
  4. Click OK.

Updating status for multiple drawers

  1. Choose Help > Repair and click the Update Drawer Status button in the Drawers tab.
  2. Select the status you want to assign to multiple drawers in the Assign status dropdown list.
  3. Mark the checkboxes to choose the criteria that determines which drawers will be updated with the new status.
    • Drawers without recent event history: If you mark this checkbox, click either the No activity logged in the event history since <date> option, or the Fewer than <n> activities logged in the event history since <date> option.
    • Drawers containing only archives
    • Drawers explicitly selected
  4. Click the Continue button.
  5. In the Select Drawers for Status Update dialog, select the drawers to which you want to apply the new status.

    Note: If you marked one or both of the first two checkboxes, FileCabinet CS will check all of your drawers to see if they meet the criteria before displaying them as available to have their status updated. If you marked the last checkbox, to explicitly select drawers, this check does not occur. Instead, all drawers are available for selection.

  6. Click the Update button.
  7. When the update process is complete, the Update Drawer Status Results dialog opens, where you can view information, such as which drawers were successfully updated. Click OK to close this dialog.
  8. Click Done to close the Repair dialog.
