Overview of source-document processing

The FileCabinet CS Source Document Processing features use OCR (Optical Character Recognition) technology to identify and extract data from tax-source documents that have been scanned into FileCabinet CS. The extracted data can then be used to automatically populate applicable fields for the corresponding 1040 client in UltraTax CS using the UltraTax CS Source Data Entry utility.

Prior tax knowledge or familiarity with UltraTax CS is not required to use the FileCabinet CS Source Document Processing features and the UltraTax CS Source Data Entry utility. You can increase the efficiency of your firm's return preparation process by delegating this process to administrative or clerical staff tasks related to scanning, document transfer, data retrieval, and the exporting of data to UltraTax CS.

To enable source-document processing, do one of the following.

  • Enable your firm's credit card for PRP/ELF/Web Organizer/OCR.
  • Purchase an unlimited Source Document Processing license.

Sending and retrieving documents for Source Document Processing:

  1. You can scan or add image files of tax-source documents into image groups in FileCabinet CS or utilize embedded PDF's for transmission to Source Document Processing.
  2. Image groups that are designated for source-document processing are transferred to our network of secure data centers for data extraction and page naming via CS Connect.
  3. The named, extracted data is retrieved via CS Connect.
  4. The UltraTax CS Source Data Entry utility is used to view the extracted data for comparison with the original source document in FileCabinet CS for accuracy.
  5. When the corresponding client is opened in UltraTax CS, the data-sharing process populates the input screens with the extracted data that was reviewed in the UltraTax CS Source Data Entry utility.

Prior year source document processing

Source Document Processing is intended for current year processing.

You can scan older documents into FileCabinet CS, marking the option to include in Source Document Processing; however, if you would like to deliver the documents to Thomson Reuters' servers for OCR processing, you would need to install that year's version of FileCabinet CS. For example, to process source documents for the 2018 tax year, the 2018 version of FileCabinet CS would be required to be installed. Therefore, we do not suggest scanning prior year documents for OCR processing.

Pricing is based on the SSN (entered in the Drawer Properties).  The price includes page naming, organizing and the extraction of data into UltraTax CS. There is no limit to the number of pages submitted per client and a client can be submitted multiple times within the same year at no additional charge.

Source-document processing is available on SAAS on a pay-per-return basis.
