Sending client data, custom methods and reports, or system settings via email

If your email service supports Messaging Application Programming Interface (MAPI) protocol, use this procedure to send client data, custom methods and reports, or system settings (asset labels, data locations, import maps, and status system events) to a file that Fixed Assets CS will attach to an email message.

Note: If you use an email service that does not support MAPI protocol (such as AOL), you can send the items to a file and then attach them to an email message.


  1. Choose File > Send to > Email Recipient. The Send to Email Recipient dialog opens.

    Note: Depending on your security configuration, you might be prompted to enter the master password before you can open this dialog.

  2. From the Clients, Custom Reports, Custom Methods, or System Settings field, choose the type of item you want to attach to an email message.
  3. In the Available pane on the left, highlight an item you want to send, then click the Select button to move it to the Selected pane on the right.
  4. Optional: If you want to password-protect the file, enter the desired password in the Password field and again in the Verify field.
  5. If Clients is selected in the Clients, Custom Reports, Custom Methods, or System Settings field, you can mark the "Check out" selected clients checkbox to indicate that you are taking the client's data home or to another location. (To view information about the "Check out" selected client checkbox, see the Send to Email Recipient dialog overview.
  6. Click OK when all desired items are listed in the Selected pane on the right. Fixed Assets CS automatically opens an email message and attaches the files you selected. Fixed Assets CS enters the following text in the body of the message: "The file attached to this email contains the following." This text is followed by a list of the attached items. You can edit the text of this message to your satisfaction.
  7. Once you have edited the message as desired, enter the email addresses of the desired recipients and send the message.
