Adding password protection for PDFs in GoFileRoom emails

If you are a GoFileRoom administrator, you can enable the Secure PDF feature to allow users to add passwords to PDFs that are attached to GoFileRoom email messages. To enable this feature, follow these steps.

  1. Choose Administration > Manage Configurations from the GoFileRoom toolbar.
  2. Click the Email Settings tab.
  3. In the Secure PDF section, tick the Enabled checkbox.
  4. Optional: To require users to add passwords to PDFs they send as attachments to GoFileRoom email messages, tick the Mandatory Password checkbox.
  5. Optional: To specify the minimum number of characters required for the password, enter a number in the Length field.
  6. Click the Save button.

Notes

  • By design, the user-entered Secure PDF password that is applied to the file is only valid for opening that file.
  • Adding this password protection also triggers GoFileRoom to apply a second randomly generated password that is applied to the document at the Document Permissions level within the PDF. This second level of security prevents other document operations such as changing the document content and altering the security settings for the document. The secondary document permissions password that is needed to alter these settings is not recorded anywhere.
  • The behavior of the Secure PDF function in GoFileRoom as described above is by design.
  • To allow staff members to bypass this functionality in cases where the person receiving the file needs to edit or modify the security settings of the file, the Secure PDF password can be set as enabled but not mandatory to permit users to do the modification in Adobe Acrobat while the attachment is available in the unsent email message. This can be done while the email message is open in Microsoft Outlook prior to sending by opening the attachment and saving that attachment back to the email message with new security settings and passwords, provided no password was entered in the GoFileRoom password dialogue.
  • To bypass this functionality in cases where the person receiving the file needs to edit or modify the security settings of the file with the Secure PDF password set to Mandatory, rather than emailing the file directly from GoFileRoom users can export a local copy of the PDF document from GoFileRoom, make security changes to that local copy using the Adobe Acrobat application, and then send that file as an email attachment.
