When managing passwords in GoFileRoom, note the following guidelines.
- Passwords are case-sensitive.
- Passwords must contain a minimum of eight characters and include at least one symbol. Symbols and special characters are allowed (for example, “@!#$%^()*”). However, we recommend that you avoid using the ampersand (&) and angle brackets (<, >) to avoid XML validation errors.
- To make setup easier, all users should have the same initial password. Each user can then set up a unique password during training or the first time they log in.
- When resetting disabled accounts, develop a convention among all GoFileRoom administrators for providing users with new temporary passwords. For example, you could use "user name m/d/yy” as the convention.
- Users can reset their own passwords prior to the recommended 90 days by clicking their name in the upper-right corner of the GoFileRoom screen and then clicking Preferences.
- If a user forgets their passwords when logging in, they can click the Forgot Password link in the GoFileRoom login screen to receive a temporary password via email.
- If a user requests a new password and is still unable to log in successfully, GoFileRoom does not allow the user to request another password through the Forgot Password link. A GoFileRoom administrator will have to reset the password.
- If the password for a restricted drawer owner is reset, GoFileRoom disables that user’s drawer ownership.
