Moving data for Virtual Client Office applications to new locations

You would need to change the data location for applications run in the Virtual Client Office environment in the following situations.

Example: Virtual Client Office application data is currently in a private data location and you need to give additional NetClient CS users access to the data

Your firm’s client ABC Company has an employee, Jenny, who has a NetClient CS portal with access to Virtual Client Office FileCabinet CS through a private data location. ABC Company later decides that it wants a second employee, Frank, to have access to FileCabinet CS.

To give Frank access to FileCabinet CS, a NetFirm CS administrator must complete the following tasks.

  1. Ask Jenny to back up the FileCabinet data for ABC Company by following the instructions in the "Back up FileCabinet CS data" section of the Migrating FileCabinet CS data to a new location on the Virtual Client Office servers topic.

    Note: NetClient CS users can access this topic by clicking the Help button in the Virtual Client Office screen, clicking Moving data for Virtual Client Office applications to new locations, and then clicking the Migrating FileCabinet CS data to a new location on the Virtual Client Office servers link.

  2. After Jenny backs up the FileCabinet CS data, the NetFirm CS administrator must give Jenny access to FileCabinet CS through a profile.
  3. The NetFirm CS administrator must now ask Jenny to restore the FileCabinet CS data to the profile location by following the steps in the "Restore data into FileCabinet CS" section of the Migrating FileCabinet CS data to a new location on the Virtual Client Office servers topic.

    Note: Jenny will also need to follow the steps in the "Set up FileCabinet CS" section of the topic to restore drawer families and re-establish any application configuration or user preference settings.

  4. Now the NetFirm CS administrator must give Frank access to FileCabinet CS.

Example: You need to remove a NetClient CS user’s access to Virtual Client Office application data that is currently accessed by multiple users through a profile

Nina and Lloyd, who are employees of your firm’s client XYZ Company, each have a NetClient CS portal with access to FileCabinet CS through Virtual Client Office. Lloyd moved to a different position in the company and he no longer needs access to FileCabinet CS. XYZ Company now wants only Nina to have access to FileCabinet CS.

If your NetFirm CS administrator decides to move Virtual Client Office application data to a private data location, he would need to follow these steps.

Note: Your firm might choose to leave the FileCabinet CS application data in a profile location and simply remove Lloyd’s access to FileCabinet CS.

  1. Ask Nina to back up the FileCabinet CS data for XYZ Company by following the instructions in the "Back up FileCabinet CS data" section of the Migrating FileCabinet CS data to a new location on the Virtual Client Office servers topic.

    Note: NetClient CS users can access this topic by clicking the Help button in the Virtual Client Office screen, clicking Moving data for Virtual Client Office applications to new locations, and then clicking the Migrating FileCabinet CS data to a new location on the Virtual Client Office servers link.

  2. After Nina backs up the FileCabinet CS data, the NetFirm CS administrator must give Nina access to FileCabinet CS through a private data location.
  3. Now the NetFirm CS administrator must remove Lloyd’s access to FileCabinet CS.
  4. The NetFirm CS administrator must now ask Nina to restore the FileCabinet CS data to the private location by following the steps in the "Restore data into FileCabinet CS" section of the Migrating FileCabinet CS data to a new location on the Virtual Client Office servers topic.

    Note: Nina will also need to follow the steps in the "Set up FileCabinet CS" section of the topic to restore drawer families and re-establish any application configuration or user preference settings.
