You can attach a note to a particular state, city, or other column in the Apportionment spreadsheet, State Everywhere Force dialog, and/or Cities and other returns dialog. For example, you may want to ask the reviewer a question about an entry. The state column that is highlighted at the time the column note is added is the note's anchor point. An attached column note is indicated by a musical note symbol in the heading column.

Example of an apportionment field note

You can add one note per state column per factor, and you can display the note symbols in different colors: for example, column notes in red could indicate questions to the reviewer, and column notes in green could indicate follow up items for you.

To attach a column note to a state factor in the Apportionment spreadsheet:

  1. Choose View > Apportionment to open the Apportionment Information window.

Note: You need to have a state return attached to the current client in order to open this window.

  2. Click the tab for the desired apportionment factor.
  3. Highlight the desired state column by clicking the column heading.
  4. Choose Edit > Column Note or click the Field Note button button on the toolbar to open the Field Note/Tick dialog.
  5. Enter the desired information in the Field Note/Tick dialog.
  6. If desired, change the color of the note symbol that will appear in the state column heading by clicking the appropriate option in the Color of musical note group box.
  7. Click OK.

Tips

  • To attach a note in the State Everywhere Force dialog, or Cities and other returns dialog, open that dialog and repeat steps 2 through 7.
  • Column notes and column note symbols do not print on the apportionment information reports.
  • To view an attached column note, highlight the state column and click the Column Note button on the toolbar.
  • To delete a column note, highlight the state column, choose Edit > Column Note, and click the Delete Note button.
