Use this dialog to proforma prior-year client data, customized documents, customized data entry displays, or customized print collations into this year's UltraTax CS application and into the 1040 Client Organizer, if desired. You do not need to add the clients to UltraTax CS because the proforma process automatically adds last year's client data or customized documents to this year's UltraTax CS, eliminating substantial data entry.

To open this dialog, choose Utilities > Proforma.

Note: You cannot proforma a client's data, customized documents, customized data entry displays, or print collations until we release the applicable federal entity for the current tax year. Therefore, some checkboxes in the Focus group box may not be available early in the year.

Fields & buttons

Use the drop-down list to select the data location to which you want to proforma clients, documents, data entry displays, or return collations. You can select only data locations that have already been added using Setup > System Configuration > Data Locations tab.

From this drop-down list, select Clients to proforma client data, Documents to proforma customized documents (for example, elections, transmittal letters, filing instructions, and invoices), Return Collations to proforma customized print collations, Data Entry Displays to proforma customized data entry displays, or Data Mining to proforma customized Data Mining reports, letters, or searches.

Notes

  • If you select Documents, Return CollationsData Entry Displays, or Data Mining in this field, the Preparer/reviewer/staff, Fiscal year end, Prior year events, Exclude 706 clients, Exclude proforma'd clients, and Open client after proforma fields, as well as the Restore user/default focus options button, are not available.
  • The Data Mining selection is unavailable until the release of the Data Mining utility for the current tax year. Data Mining is typically released in early February each year.

All clients who meet the criteria designated in the Focus group box are listed here. Highlight the client(s) whose data you want to proforma and click the Select button to move them over to the Selected to proforma pane on the right.

Notes

  • You cannot proforma a client's data until we release the applicable federal entity for the current tax year. Therefore, some entity types in the Focus group box may not be available early in the year.
  • Clients whose returns were marked as final in the prior year version of UltraTax CS will not appear in the Available to proforma pane. Also, if you marked the Suppress next year's proforma checkbox in the General folder for any clients, those clients will not appear in the Available to proforma pane.
  • If no clients are listed here, check the data path in the Data to proforma group box and verify that the drive and path of last year's tax data are correct. If not, click the Change UltraTax CS Location button, or select the correct prior-year UltraTax CS data location from the drop-down list in the Data to proforma group box. If the client data to be proforma'd is on a backup disk, click the Backup option and verify the drive and path.

Tip: To sort the client listing by client ID, name, or entity type, click the words Client ID, Name, or Entity in the title bar of the list pane.

Tips

  • To remove one or more clients from this list, highlight the client(s) and click the Remove button. The client(s) return to the Available to proforma pane on the left.
  • To sort the client listing by client ID, name, or entity type, click the words Client ID, Name, or Entity in the title bar of the list pane.

All customized documents for the entity type(s) designated in the Focus group box are listed here. Highlight the document(s) you want to proforma and click the Select button to move them over to the Selected to proforma pane on the right.

Notes

  • UltraTax CS determines the print collations available to proforma based on the UltraTax CS applications in use in both the previous and current years. Any return collations that you customized in the prior-year version of UltraTax CS will be available here, assuming you are using the same entities this year.
  • You cannot proforma return collations until we release the applicable federal entity for the current tax year. Therefore, some entity types in the Focus group box may not be available early in the year.
  • If no return collations are listed here, check the path in the Data to proforma group box and verify that the drive and path to last year's collation information are correct. If not, click the Change UltraTax CS Location button, or select the correct prior-year UltraTax CS data location from the drop-down list in the Data to proforma group box.

Lists the customized print collations you have selected to proforma.

Tip: To remove one or more return collations from this list, highlight the collation(s) and click the Remove button. The collation(s) return to the Available to proforma pane on the left.

All customized data entry displays for the entity types designated in the Focus group box are listed here. Highlight the data entry displays you want to proforma and click the Select button to move them over to the Selected to proforma pane on the right.

Lists the Data Mining reports, letters, or customized searches that are available to proforma.

Focus group box

Mark one or more of the entity type checkboxes to include the corresponding clients in the client list.

Example: To include only 1040 clients in the list, clear all checkboxes except the 1040 checkbox.

Note: Mark the Other checkbox to include 990, 5500, 706, and 709 clients in the list.

Click this button to toggle between the most recent custom Custom focus button focus selection and the default Default focus button selection.

Note: This field is available only if Clients is selected in the Clients, Documents, Data Entry Displays, or Return Collations drop-down list at the top of this dialog.

Select a preparer, reviewer or staff member from the drop-down list to limit the list to clients whose returns were assigned to a specific person.

Note: This field is available only if Clients is selected in the Clients, Documents, Data Entry Displays, or Return Collations drop-down list at the top of this dialog.

Select a month from the drop-down list to limit the selection list to clients whose fiscal year ends on a specific month.

Note: This field is available only if Clients is selected in the Clients, Documents, Data Entry Displays, or Return Collations drop-down list at the top of this dialog.

Choose "Return Printed," "ELF file transmitted to CS," or any user-defined event to restrict the list of clients to only those who had the selected event logged in the prior-year version of UltraTax CS.

Note: This field is available only if Clients is selected in the Clients, Documents, Data Entry Displays, or Return Collations drop-down list at the top of this dialog.

By default, UltraTax CS excludes from the client listing clients whose data has already been proforma'd. Clear this checkbox to include already proforma'd clients in the client listing.

706 clients are automatically excluded from the list. To include them, clear the Exclude 706 clients checkbox. This checkbox is available only when you are licensed for 706 returns and UltraTax/706 is installed.

Data to proforma group box

Click this option to proforma data, customized documents, customized data entry displays, or customized print collations from last year's UltraTax CS application.

Notes

  • When you click this option and Documents is selected in the Clients, Documents, Data Entry Displays, or Return Collations drop-down list, UltraTax CS displays the drive and path on which it will look for last year's data. If necessary, click the Change UltraTax CS Location button to modify the drive and path, or select the correct prior-year UltraTax CS data location from the drop-down list in the Data to proforma group box.
  • When you click this option and Clients is selected in the Clients, Documents, Data Entry Displays, or Return Collations drop-down list, UltraTax CS displays the drive and path on which it will look for the client data. If necessary, click the Change UltraTax CS Location button to modify the drive and path, or select the correct prior-year UltraTax CS data location from the drop-down list in the Data to proforma group box.
  • To proforma last year's client data from an external storage device or a backup location on the hard drive, click the Backup option instead.

  • If you clicked the UltraTax CS option and Documents is selected in the Clients, Documents, Data Entry Displays, or Return Collations drop-down list at the top of this dialog, UltraTax CS lists the drive and path of last year's UltraTax CS data path here. If the drive and path are not correct, click the Change UltraTax CS Location button and specify the correct location, or select the correct prior-year UltraTax CS data location from the drop-down list in the Data to proforma group box.
  • If you clicked the UltraTax CS option and Clients is selected in the Clients, Documents, Data Entry Displays, or Return Collations drop-down list at the top of this dialog, UltraTax CS lists the drive and path of last year's UltraTax CS data here. If the drive and path are not correct, click the Change UltraTax CS Location button and specify the correct location, or select the correct prior-year UltraTax CS data location from the drop-down list in the Data to proforma group box.
  • If you clicked the Backup option, UltraTax CS lists the drive and path of the backup data here. If the drive and path are not correct, click the Change Backup Location button and specify the correct location.
  • If Clients is selected in the drop-down list at the top of this dialog, click this button to open a dialog in which you can specify the location of last year's UltraTax CS data or the backup data.
  • If Documents is selected in the drop-down list at the top of this dialog, click this button to open a dialog in which you can specify the location of last year's UltraTax CS application.

Mark this checkbox to proforma all returns except Personal Property Tax returns that may be attached to the selected client(s). Any return that was already proforma'd, such as the federal or state return, will be deleted and re-proforma'd. This applies to PPT returns for California, District of Columbia, Florida, Georgia, Indiana, Kentucky, Maryland, Michigan, Nebraska, Puerto Rico, South Carolina, Texas, Virginia, and Wisconsin.

Click this button to have UltraTax CS rebuild the client listing after you change the external storage device from which you are conducting the proforma process.

Example: If you know a particular client's backup data is on one of three storage devices but the client information is not on the first device, replace the first device with the second one and click this button. UltraTax CS will check the second device for client information to proforma and rebuild the client list accordingly.

Note: This button appears only if you clicked the Backup option in this dialog.

By default, UltraTax CS will open a client's tax return after you proforma that client's data from the prior-year application. To prevent UltraTax CS from doing so, clear this checkbox. Because UltraTax CS only does so when you proforma a single client (rather than a batch of clients), this checkbox is only available when one client is selected to proforma.

Click this button to open the Proforma Report dialog, which you can use to print or export the Client Proforma Listing report.
