Use this dialog or tab to select various options for printing client documents (including letters, filing instructions, and invoices), returns, elections, organizers (if you are licensed for the 1040 Client Organizer), and input screens. Print options can be set in one of two ways.

To Set Office-Wide Print Options: If your security configuration requires the use of office-wide print options, choose Setup > Office Configuration, and then click the Print Options tab. In this situation, print options cannot be defined by each user. When specifying print options for firms with multiple office profiles, verify that the correct office is selected in the drop-down list at the top of the Office Configuration dialog. 

To Set User-Defined Print Options for All Clients: If your security configuration does not require the use of office-wide print options, each user can set his/her own settings. To do so, choose Setup > User Preferences, then click the Print Options tab. The options set in this tab apply to all clients whose items are printed from this computer. Note that you may only set user-defined print options if you are licensed for the network version of UltraTax CS.

Fields & buttons

To print the client ID, date printed, time printed, and/or page number at the top of each page for all client documents (which include all letters, filing instructions, invoices, and - if you are licensed for it - the 1040 Client Organizer pages), mark the appropriate checkboxes.

To print the client ID, date printed, time printed, and/or page number at the top of each page for all returns and extensions, mark the appropriate checkboxes.

Use this slider to set the position of the items you selected in the Print at the top of each page group box.

To print all client data on the returns, extensions, 1040 Client Organizer pages, and input screens in bold font, mark this checkbox.

If this checkbox is marked, UltraTax CS will automatically turn bold on when you add field notes or when attaching text to a form.

Note: Letters, filing instructions, and invoices will not print in bold font.

To print all client data on the returns, extensions, 1040 Client Organizer pages, and input screens in capital letters, mark this checkbox.

Note: Letters, filing instructions, mailing slipsheets, invoices, and the diagnostic reports will not print in capital letters.

To print all statements for Schedule A, for example, and then begin a new page to print all statements for Schedule B and so on, mark this checkbox.

Note: If you leave this checkbox blank, all statements will print continuously in one batch.

Mark this checkbox to enable certain wide statements to print in landscape format.

To print the Intelligent Mail Barcodes (IMB) on all client mailing slipsheets and mailing labels instead of the standard POSTNET barcode, mark this checkbox and enter your Mailer ID (the six- or nine-digit numeric code assigned by the USPS).

Each field on an input screen is assigned a "zip" number, which provides a convenient way to reference input screen fields. Mark this checkbox to print the input screens (with or without client data) with the zip numbers showing.

Notes

  • Marking this checkbox does not affect the printing of client documents, returns, extensions, and/or organizer pages.
  • The zip numbers will only appear on the printed input screens, not in a print preview.

To print the current date in the preparer block of the return or extension, mark this checkbox.

To print a separator page between each collation (government, client, and preparer), and to print a separator page between clients when printing tax returns, input screens, organizer pages, or extensions, mark this checkbox.

The separator page lists the client ID, client name, and the item you are printing.

Mark this checkbox to include diagnostics that have already been acknowledged in the Diagnostics report.

Mark or clear the appropriate checkboxes to allow or prevent federal copies of forms from printing with a state return. You can do so on the Government, Client, and Preparer collations by marking the corresponding checkbox.

After you receive a signed PIN form from your client and you update the Signature Document column in the Utilities > Electronic Filing Status dialog from "To Sign" to "Signed," UltraTax CS no longer prints the client's signature document. Mark this checkbox to always print a client's signature document (Form 8879 or equivalent) regardless of signature status.

Note: You can use the Signature Document column, enabled for returns that were filed by the Electronic Filing Return Originator (ERO) with an Electronic Filing PIN, to view your client's electronic filing signature status.

When the signature date is not entered in Screen PIN (1040) or Screen ELF (other products), choose Leave signature date(s) blank and electronic filing signature documents, such as Form 8879, will leave the signature date blank. Or, choose Use current date, and Form 8879 will use the current system date.

Mark or clear the appropriate checkboxes to enable or disable the field masking feature, which causes UltraTax CS to hide confidential or sensitive information on tax returns and other documents in the preparer and client collations. You can choose to have UltraTax CS mask SSNs/PTINS, EINS, Bank Numbers, or Dates of Birth by marking the corresponding checkbox for each item. Note that all of these checkboxes are marked by default.

Note: UltraTax CS will also mask Electronic Filing Identification Numbers (EFINs) if either the SSNs/PTINs or EINs checkbox is marked.

Click this button to open the Mailing Slipsheets dialog, which you can use to specify various print settings related to mailing slipsheets.

Click this button to open the Page Layout and Shading dialog in which you can set layout and shading options for the following items.

  • The three return collations (government, client, and preparer).
  • Organizer pages if you are licensed for the 1040 Client Organizer.
  • Input screens.
  • Client documents including letters, filing instructions, and invoices.

Click this button to open the Watermarks dialog, which you can use to create or edit watermarks for use on the government, client, or preparer return collations.
