New (tax) year, new help!

Fixed Assets and UltraTax CS 2023 help is now on Help and Support. We're still moving articles, but you can find most content for the 2023 tax year there. Continue using the Help & How-To Center for tax years 2022 and older.

Use the Cities and other returns spreadsheet to enter city and other returns information for the apportionment factors. The spreadsheet consists of three tabs, one for each factor: property, payroll, and sales.

To open the Cities and other returns spreadsheet, choose View > Apportionment, click the appropriate state tab at the bottom of the window, and click the Cities button. The spreadsheet is located at the top of the Cities and other returns dialog.

Note: You must have a city or other return attached to this return to open the Cities and other returns dialog.

Apportionment data entry

  • White fields: UltraTax CS uses the white fields in the city and other return column(s) to complete the city's or other return's apportionment form. The amounts for the everywhere fields on the city or other return form come from either the Everywhere / (Override) column or the state column in the Apportionment Information window, depending on state law. For additional information on how the white fields on the spreadsheet are combined onto the apportionment forms, refer to the Apportionment Form Combination Tables guide (PDF).
  • Shaded fields: You cannot enter data in the shaded fields in the city or other return column(s). These fields are for components that are not used on the city's or other return's apportionment form.
  • Statement dialogs: Some fields in the Cities and other returns spreadsheet and city and other return tabs have statement dialogs to enter detailed information for this factor's component.

If the Statement dialog Statement dialog button button is purple in color, then the amount imported from Excel (using the Excel Export/Import utility) does not equal the amount in the statement dialog. Open the statement dialog and update the detail.

  • Column totals: UltraTax CS calculates the amounts entered in the city and other return columns and displays the total at the bottom of the column. The application calculates the amounts in the same manner in which the amounts are calculated for the apportionment form. For example, annual rents are multiplied by eight, and returns and allowances are deducted from sales.

Spreadsheet columns

  • Component: Lists the most frequently used components for this factor. Components that are not listed in this column are available in the appropriate city or other return tab at the bottom of the Cities and other returns dialog.
  • City / Other return: Use these column(s) to enter the in-city (in-other) amounts for the apportionment forms. Most apportionment data entry is completed in these columns. Note that only cities and other returns attached to the current return appear as columns. Data entered in a city or other return column is not included in the Everywhere / (Override) column in the Apportionment spreadsheet.
