Use the Send to Email Recipient dialog to send client data, documents, system settings, product settings, or updates to an encrypted file which UltraTax CS will attach to a blank email message. This file can also be password-protected.

To open the Send to Email Recipient dialog, choose File > Send to and select Email Recipient.

Use the Send to File Location dialog to send client data, documents, system settings, product settings, or updates to an encrypted file which you can password protect for additional security. UltraTax CS will create this file in the folder which you specify in this dialog.

To open the Send to File Location dialog, choose File > Send to and select File.

Notes

  • This dialog is not used to send tax returns to your clients in Portable Document Format (PDF) files. To do so, choose File > Print Returns, click the Client copy checkbox, mark the Electronic delivery checkbox, and then click the Email PDF option.
  • If your email service supports Messaging Application Programming Interface (MAPI) protocol, use the Send to Email Recipient dialog to have UltraTax CS automatically open an email message and attach the data items.
  • If your email service does not support MAPI protocol, save the data items using the Send to File Location dialog, create your message and manually attach the file you created.
  • This dialog is not used to email PDF client organizers to clients using the UltraTax/1040 Client Organizer. To do so, choose File > Print Organizers and click the Email PDF or PDF to file in options, as appropriate.

Fields & buttons

Select the type of item you want to send to file from this drop-down list.

  • Select Clients to send client data.
  • Select Documents to send client documents.
  • Select System settings to send System settings data.
  • Select Product settings to send Product settings data.
  • Select Updates to send application updates downloaded via CS Connect. If you select Updates, all fields in the Focus group box are not available because all application updates must be sent together to ensure compatibility.

All items that meet the criteria defined in the Focus group box are listed here.

Tips

  • To remove an item from this list, highlight it and click the Remove button. The item moves to the Available pane on the left.
  • To sort the client list by client ID, name, or entity type, click the word Client ID, Name, or Entity in the title bar of the list pane.

Mark this checkbox to check out the selected clients' data. By checking out a client's data, you can avoid problems that result from multiple people accessing the same client data simultaneously.

For example, you might mark this checkbox when you take a client's data home or to another office location. If anyone attempts to open the client while you have the data checked out, they will receive a dialog stating that the data is currently checked out. If the person chooses to open the client anyway, this checkbox will be cleared.

Focus group box

Mark one or more of the entity type checkboxes to include the corresponding clients in the client list.

Example: To include only 1040 clients in the list, clear all checkboxes except the 1040 checkbox.

Note: Mark the Other checkbox to include 990, 5500, 706, and 709 clients in the list.

Click this button to toggle between the most recent custom Custom focus button focus selection and the default Default focus button selection.

Select a preparer, reviewer, or staff member from the drop-down list to limit the list to clients whose returns were assigned to a specific person.

This field displays the selected status event by which the client list is focused and the sorting criteria for that event. To limit the client list by a different status event or to change the sorting criteria, click the Modify button to open the Modify Event Focus dialog.

Click this button to change the selection in the adjacent field.

Password data protection

If desired, enter the password you want to use to password protect the file to which the selected items will be sent. Enter the same password in the Verify field.

Enter the password that you entered in the Password field again to verify that it is correct.

Note: This field is not available unless you entered a password in the Password field.

Note: The following fields are available only in the Send to File Location dialog.

Displays the location to which the file will be sent. Note that you can't send this file to your C:/ drive. You must modify the location to a folder or network drive. To change this location, click the Modify Destination button, navigate to the appropriate location, and click OK.

Note: This field is not available in the Send to Email Recipient dialog.

To change the location to which the file(s) will be sent, click this button. Then navigate to the desired folder, and click OK.

Note: This button is not available in the Send to Email Recipient dialog.
