Sending client data, documents, settings, or updates to a file

Follow these steps to send UltraTax CS client data, documents, system settings, product settings, CS Connect updates, or Data Mining reports, letters, or searches to an encrypted file that you can password-protect or to check out client data. Also, if your email service does not support Messaging Application Programming Interface (MAPI) protocol, use these steps to save the documents to file, and then attach the file(s) to an email message. If your email service does support MAPI protocol, you can use the Send to Email Recipient command from the File menu.

  1. Choose File > Send to > File to open the Send to File Location dialog.
  2. From the drop-down list at the top of this dialog, choose the type of item you want to send to file.
  3. In the Available pane on the left, highlight an item you want to send, then click the Select button to move it to the Selected pane on the right.
  4. Optional: If you want to password-protect the file, enter the desired password in the Password field and again in the Verify field.
  5. If necessary, click the Modify Destination button and then specify the location to which UltraTax CS will send the file.
  6. If Clients is selected in the drop-down list at the top of this dialog, you can mark the "Check out" selected clients checkbox to indicate that you are taking the client's data home or to another location. (For more information on the Send to File dialog and this checkbox, see Send to Email Recipient or Send to File Location dialog.)
  7. Click OK when all desired items are listed in the Selected pane. UltraTax CS will create the file, place it in the specified location, and notify you of the name of the file and directory in which it was placed.
  8. Optional: If necessary, open a new email message using AOL (or other non-MAPI-supporting service), and manually attach the file you created.

Tips

  • Click the words "Client ID" or "Name" or "Entity" in the title bar of either pane to sort the list by that characteristic.
  • Use the Focus group box at the bottom of this dialog to limit the clients who appear in the client listing by entity type and/or preparer/reviewer/staff.
