Preparing CCH Axcess data for conversion to UltraTax CS

The first step to prepare data for conversion from ATX Saber and ATX Max to UltraTax CS is exporting the data in the proper format and preparing the files for our Conversion Team. Complete the steps below to create the files you'll need to provide to convert your data for use in UltraTax CS.

Before you provide data to convert

Complete the following before you prepare data for conversion:

  • Remove any client passwords: You'll need to remove all client passwords in your old software before you prepare the data to send to the Conversion Team.
  • Rename, renumber, or modify client IDs. The Conversion Team will use the same client IDs in your old software. If you need to modify any client IDs, do so before sending data for conversion. Client IDs must be unique across all entities in UltraTax CS.

Prepare data for conversion

  1. Create a folder on your desktop where you will export your CCH data.
  2. Open CCH Axcess Tax.
  3. Open the Return Manager
  4. Select the returns you want to convert.

    Notes:

    • For the most efficient conversion, you should send all data for a given year at the same time.
    • Do not include cross-entity returns (TX Franchise, NV Commerce, OR CAT), consolidated 1120 returns, imported trial balance data for business tax returns, or Schedule K-1 data shared between business and individual returns.
  5. Select the Utilities tab, and click Transfer to Prosystem FX. If this option is grayed out, please see your CCH Axcess Firm Administrator.
  6. On the Return Transfer Options screen, enter a generic description in the Office group name field, and change the location of the export to the folder created in step 1.
  7. Open the export folder to confirm you have the correct data. You should see files that have a [taxyear]_RT_[currentdate]_[currenttime].dat format. For example, the file name would be 2022_RT_20230729_0913.dat if you exported a 2022 return on 7/29/2023 at 09:13am.
  8. Right-click the folder you created in step 1, and select Send to > Compressed zip, or ZIP the folder using your preferred method.

    Notes:

    • Do not password protect or encrypt the ZIP file.
    • Do not rename or modify any of the .dat files created during the export file. Only .dat files should be zipped and submitted.
