If your firm has multiple offices running the same installation of UltraTax CS or has multiple firms in the same office running the same installation of UltraTax CS with an office share licensing agreement, UltraTax CS accommodates multiple sets of client documents, print options, invoice pricing, custom client documents, and other office-wide files; each office or branch maintains separate information.

The following steps outline the recommended process for setting up multiple client data locations and maintaining sets of documents for each branch or office.

Step 1: The system administrator adds additional client data locations.

Step 2: The system administrator assigns each preparer the appropriate firm.

Step 3: UltraTax CS users specify which data location they will use for processing.

Transferring client documents and other configurable files

If and office modifies client documents or other configurable files, you can transfer these files to the other offices that share UltraTax CS.

Linking preparers, reviewers, staff, and data locations

Large firms that have multiple offices running the same installation of UltraTax CS or multiple firms in the same office running the same installation of UltraTax CS with an office share licensing agreement should use Setup > Office Configuration. Then, click the Office Setup button to enter independent office names (up to 20 characters) that can be used to define a set of office-specific configurable settings, such as preparers, staff, reviewers, status events, or client documents, all of which can be linked to specific data locations. 

Setting office-specific options, such as print options

When multiple branches or office share licensees share the same installation of UltraTax CS, it is important to know which office is selected when performing office-specific options, such as setting print options. UltraTax CS determines which office is selected using the following logic.

Each preparer must be assigned to a firm, and a default preparer must be selected for all new clients in the Setup > User Preferences > My Settings tab for each user.

  • If a client is open: The firm to which the client's preparer is assigned is the active firm for the purpose of setting firm-specific options.
  • If a client is not open or if a preparer is not assigned to the open client: UltraTax CS determines the firm based on the default preparer that is selected in the Setup > User Preferences > My Settings tab. The firm to which the default preparer is assigned is the default firm for the purpose of setting user-specific options.
