Backing up and restoring an Accounting CS Workpapers client for work in the field

You can use the following procedure to backup a client database in Accounting CS Workpapers and restore it on a laptop or workstation at a client's office. This procedure is primarily used for audit-type engagements that require staff to update workpapers and trial balance data in the field without a connection via terminal server, Virtual Office CS, Software as a Service (SaaS), or peer-to-peer network. If you do not need to update the trial balance while working in the field, see Disconnecting and returning workpapers.

Prior to backing up and restoring the client database, be sure that you are licensed for and have installed the same version of Accounting CS Workpapers (version 2014.1.2 or higher) on the office workstation as well as on the remote laptop or workstation.

Backing up and restoring client data

At the office

  1. Launch Accounting CS Workpapers and choose File > Client Data Management Utility.
  2. Select Backup from the drop-down list in the Action field.
  3. Enter or browse to the location where you want to backup the client data.
  4. In the Client Data grid, mark the checkbox next to the client to select it for backup. (The backup file name appears in the File name column when the checkbox is marked.)
  5. Verify or edit the file name in the File Name column for the selected client.
  6. Click the Backup Selected button. The Backup utility creates a separate backup file for each client that is selected.
  7. When the backup process is complete, click OK. The Backup Diagnostics report opens automatically in the Preview screen, and you can choose to print or close that report. (The report displays the client ID, client name, date/time, and details such as the filename for the data backup file and any potential errors that were encountered during the backup procedure.)
  8. Copy the backup file to the laptop or workstation to be used in the field.

In the field

  1. Launch Accounting CS Workpapers , open the Firm database for the client, and choose File > Client Data Management Utility.
  2. Choose Restore from the drop-down list in the Action field.
  3. Enter or browse to the location of the client data that you want to restore.
  4. Mark the checkbox in the Client Data grid for the selected client to restore.
  5. Click the Restore Selected button.
  6. When the restore process is complete, click OK. The Restore Diagnostics report opens automatically in the Preview screen, and you can choose to print or close that report. (The report displays the client ID, client name, date/time, and details such as the filename for the data backup file that was restored and any potential errors that were encountered during the restore procedure.)
  7. Open and update the client in Accounting CS Workpapers . When you are ready to return to the office, use the Client Data Management Utility to backup the client on the remote laptop or workstation.

At the office

When you return to the office, copy the backup file to the original backup location on the office workstation and restore the client database via the Client Data Management Utility.

Any changes made in the client's database at the office are overwritten by updates that are restored from the field.
