Report Designer: Defining rows, columns, or regions as optional

In the Report Designer you can specify rows, columns, or regions as optional sections in most reports and financial statements (but not in letters).

When you choose to print a report or statement, the region or section options are available in the Print dialogs that are accessible from either the Report Designer or the Print Reports screens. Use these options to include or exclude selected areas of the report.

Notes

  • Multiple optional regions must exist in a report before the Optional region option becomes available in the Design Tools frame.
  • The Region name field is disabled (grayed) for Region Properties. To rename a region that is not available by default, click anywhere in that region and choose Edit > Rename Region.
  • If you change one or more options for a report or financial statement in the Report Designer, including changes made in the File > Page Setup dialog, those changes flow to that report in the File > Print Reports screen.

To open a report or financial statement layout for editing, choose File > Report Designer. In the Reports list frame, click the + sign next to the document type folder to expand the list, and then double-click a report or financial statement layout to open it in the design grid.

Defining a row as optional

  1. In the design grid, click the row number for the row that you want to designate as optional. (Note that you can press the SHIFT key and click multiple rows to select them all at one time.)
  2. In the Row Properties section of the Design Tools frame, mark the Optional section checkbox and specify a name for that section.
  3. Mark the Print by default checkbox to set the default state for the report.
  4. Save the report changes.

Defining a column as optional

  1. In the design grid, click the column header number to select the column that you want to designate as optional. (Note that you can press the CTRL key and click multiple columns within a single region to select all of them at one time.)
  2. In the Column Properties section of the Design Tools frame, mark the Optional section checkbox, and specify a name for that section.
  3. Mark the Print by default checkbox to set the default state for the report.
  4. Save the report changes.

Defining a region as optional

  1. In the design grid, click the region header for the region that you want to designate as optional.
  2. In the Region Properties section of the Design Tools frame, mark the Optional section checkbox, and specify a name for that section.
  3. Mark the Print by default checkbox to set the default state for the report.
  4. Save the report changes.
