Data Sharing demographic information in Practice CS

You can use Data Sharing to update client demographic information throughout Accounting CS, FileCabinet CS, Practice CS, and UltraTax CS. 

Enable Data Sharing in Practice CS

  1. In Practice CS, go to Setup then Firm.
  2. Go to the Preferences tab.
  3. Mark the Integrate this Firm with other solutions box.
    Note: If this box is checked but grayed out, it means this option is already enabled. Proceed to the next step.
  4. Click OK.
  5. Go to Setup then System Configuration.
  6. Go to the File Locations tab.
  7. Enter the correct location in the Practice CS data path field. This should be the Shared Files location used during Step #1 of the initial Practice CS installation. Unless your firm uses a custom path, this will typically be X:\WinCSI\Practice CS Data (where X: is the drive or network you installed on).
  8. Enter the data locations for the other programs where you want to use Data Sharing.
    Note: Data Sharing works with the current, previous, and next year of UltraTax CS. Make sure you're entering the correct data location as client data may vary between years.

Data Sharing Updates

Once enabled, Data Sharing will look for matching SSN or EINs (not the client ID) used in other program. When changes are detected, the program will prompt you to review and accept, decline, or postpone the updates to the client's information from the other program.

Note: Data sharing a taxpayer's or business' name from Practice CS, UltraTax CS 1065, or UltraTax CS 1120 into UltraTax CS 1040 won't update if you've already entered the name into the 1040 client. The name fields will only update if the name field is empty. This prevents inadvertent name changes with prefix, suffix, and middle initial differences.

If you're new to Practice CS and don't have any client data, you can use your client data in UltraTax CS to populate your Practice CS database.

Updating Practice CS information

Unlike client-based programs (like UltraTax CS or Accounting CS), Practice CS will only check for updates when you access that particular client's setup screen and click Edit. Since this screen is rarely edited, we recommend that you do one of the following to make sure you don't miss data updates to Practice CS:

  • Have a firm policy where all demographic updates are completed in Practice CS. When those updated clients are then opened in other programs, you'll be prompted to accept or reject the data sharing updates.

    OR
  • Use the Sync Datasharing button on the Practice CS toolbar. This will perform all data sharing updates immediately for all clients. Note that you will need to accept or reject each one.
