Select Period to Process dialog

Use the Select Period to Process dialog to enter or examine data for a different processing period or to roll forward to a new processing period. You may choose any prior, current, or future period for the open client. Fixed Assets CS automatically recalculates the depreciation as necessary.

To open this dialog, choose File > Select Period to Process.

Note: Depending on your security configuration, you might be prompted to enter the master password before you can open the Select Period to Process dialog.

The options available in the Processing Period List depend on the open client's calculation period (annual, quarterly, or monthly), as specified in the File > Client Properties dialog. If you were to change the client's calculation period in that dialog, you would immediately see the change reflected in the File > Select Period to Process dialog.

Note that the procedure to change processing periods for a yearly client differs from that for a monthly or quarterly client.

Notes

  • To change to a different processing period, you must follow the steps outlined in Changing one client to a different processing period. Changing the depreciation period ending date in the File > Client Properties dialog does not update the client's calculated depreciation values.
  • Be sure to back up the client's data before closing to the next year.
  • If you move a client to a previous processing period to modify or add an asset and then close to the next year, you can choose to merge the asset data. Merging data allows you to keep depreciation changes and assets added, disposed, and transferred in both the current and previous periods. For details regarding the merge and overwrite options, see Advancing changes from a prior period to the current period.
  • The Retain [n] years of fixed assets data field in this dialog specifies the maximum amount of data (2 - 10 years) to be retained on your hard disk for the open client. Data older than the number of years shown in this field is automatically erased from your hard drive as you close to the next year.

Changing one client to a different processing period

Fields & buttons

The options available in this list depend on the open client's calculation period (annual, quarterly, or monthly), as specified in the File > Client Properties dialog. If you were to change the client's calculation period in that dialog, you would immediately see the change reflected in this pane for the current year.

  • For a quarterly- or monthly-period client, only the current-year periods are listed.
  • To change to a different period, highlight the period you want to move to and then click the Move to Selected Period button.
  • To close to a new year, highlight the last period shown for the current (unclosed) year and then click the Close to Next Year (or Close to Next Period) button.

The name of this button varies depending on whether the client is quarterly, monthly, or yearly.

  • The name of this button will be Close to Next Period for quarterly or monthly clients who are not in the last period of their fiscal year.
  • The name of this button will be Close to Next Year for yearly clients and quarterly or monthly clients who are in the last period of their fiscal year.

Note: When you use the File > Select Period to Process dialog to change or advance to a different processing period for the open client, the change is automatically reflected in the Current period ending date field in the File > Client Properties dialog and in the title bar of both the Asset List window and the Asset Detail dialog.

Moves you to the highlighted period without closing any period so that you may examine or modify the client's data. (The application prompts you to verify the date to which you are moving.)

This button is available only if a period other than the current period is highlighted.

Note: When you use the File > Select Period to Process dialog to change to a different processing period for the open client, the change is automatically reflected in the Current period ending date field in the File > Client Properties dialog and in the title bar of both the Asset List window and the Asset Detail dialog.

In the Setup > System Configuration > Connect + Options tab, use this field to enter a number (2 - 10) to specify the maximum years' data to be retained on your hard disk for all clients. This range includes the client's current-year data files plus any prior-year data files. When the client closes to the next year, data older than the number of years shown in this field (minus one for the current year's data files) will be erased from your hard drive as you close to the next year.

Note: This field is read-only when accessed via the File > Select Period to Process dialog.
