ScanFlow Add-In overview and installation

The GoFileRoom ScanFlow Add-In allows you to do the following:

  • Scan multiple documents to GoFileRoom as a single batch.
  • Recognize and process GoFileRoom barcode cover sheets.
  • Recognize and process GoFileRoom bookmark separator sheets.
  • Delete blank back pages when scanning in duplex mode.

Additional system requirements

  • Network users must be members of the Scan Operators group.
  • The Upload Documents Service is needed to transfer your scanned documents into GoFileRoom.

    Prior to installing ScanFlow, determine the following.

    • Does your firm already use a shared network instance for the Upload Documents service?
    • Does your firm need to install the Upload Documents service locally, on each workstation where ScanFlow is installed, or does the service need to be installed on a shared server?

    Pre-installation steps

    1. Verify that Acrobat is installed on your workstation.
    2. If Adobe Reader is installed on the machine, uninstall it.
    3. Open Acrobat, choose Help > Repair Installation, and follow the prompts to re-assign file types for Acrobat to use.
    4. Verify that all software and drivers provided by your scanner vendor are installed and restart the workstation.
    5. Create a custom profile for VRS features using the specifications provided by your scanner vendor.
    6. Verify that all GoFileRoom setup steps are complete for the workstation.
    7. Verify that you have installed the latest version of the GoFileRoom Client Add-In.

    Be sure to close Adobe Acrobat before you install the ScanFlow Add-In.

    ScanFlow Add-In installation

    You must be part of the Administrators group to perform the following steps.

    1. Click your name in the upper-right corner of the screen and choose ScanFlow from the drop-down list.
    2. In the File Download - Security Warning dialog, click Run.
    3. If an Internet Security Warning dialog appears, click Run.
    4. The InstallShield Wizard will guide you through the remainder of the installation process. Click Finish to complete the installation.
    5. Navigate to C:\Program Files (x86)\GoFileRoom\GFRScanFlow, run the License.exe file as an administrator.
    6. Enter your firm's ScanFlow Licence information, and then click OK.

      Notes

      • You can obtain your firm's Licence information by contact GoFileRoom Support.
      • To access the ScanFlow Licence dialog at any time, click the Start button in the Windows taskbar and search ScanFlow Licence.
      • We highly recommend that your firm tracks which Scan Station licences are installed on which machines. This information will speed the process in the event that a scan station licence needs to be refreshed.

    Final configuration steps

    The Upload Documents service is used to transfer your scanned documents into GoFileRoom. Use the corresponding instructions that reflect your firm’s preference for using the Upload Documents service. Either install the Upload Documents Service locally, to a shared server location, or point ScanFlow to a previously installed shared Upload Documents Service location.

    1. Install the GoFileRoom Upload Documents Service on the local workstation by following all the steps in the Install the Upload Server component and Configure the Upload Server component sections.
    2. Navigate to C:\Program Files(x86)\GoFileRoom\GFRUploadDocuments and verify that the UploadDocuments folder is shared to allow all domain users full access control.

      The UploadDocuments folder must be shared for the Upload Documents Service to function.

    3. Restart the workstation.
    1. Follow all the steps in the Install the Upload Server component and Configure the Upload Server component sections to install and configure the GoFileRoom Upload Documents Service.
    2. On the server, navigate to C:\ProgramFiles (x86)\GoFileRoom\GFRUploadDocuments and verifiy that the UploadDocuments folder is shared to allow everone full access control.

      The UploadDocuments folder must be shared for the Upload Documents Service to function.

    3. On the local workstation where ScanFlow is installed, use Windows File Explorer to navigate to and confirm the permissions on the shared UploadDocuments folder.
    4. On the local workstation where ScanFlow is installed, navigate to C:\ProgramData\GoFileRoom\GFRScanFlow via Windows File Explorer.

      Note: You may need to show hidden files and folders to navigate to this path.

    5. Open the GFRScanFlow.ini file with Notepad.
    6. Enter the universal naming convention (UNC) path to the shared UploadDocuments folder on the server in the "PathtoSaveDocuments=" line.

      Note: Use the following convention: \\<ComputerName>\<path>\<SharedFolder>, where<ComputerName> represents the computer or server where you installed the Upload Document component, and <SharedFolder> represents the path to the folder you shared in step 1. For example, \\Server\Program Files (x86)\GoFileRoom\GFRUploadDocuments\UploadDocuments.

    7. Save and close the file.
    1. On the local machine where ScanFlow is installed, navigate to, and confirm the permissions on the shared UploadDocuments folder via Windows File Explorer.
    2. On the local machine where ScanFlow is installed, navigate to C:\ProgramData\GoFileRoom\GFRScanFlow via Windows File Explorer.

      Note: You may need to show hidden files and folders to navigate to this path.

    3. Open the GFRScanFlow.ini file with Notepad.
    4. Enter the universal naming convention (UNC) path to the shared UploadDocuments folder on the server in the PathtoSaveDocuments=line.

      Note: Use the following convention: \\<ComputerName>\<path>\<SharedFolder>, where<ComputerName> represents the computer or server where you installed the Upload Document component, and <SharedFolder> represents the path to the folder you shared in step 1. For example, \\Server\Program Files (x86)\GoFileRoom\GFRUploadDocuments\UploadDocuments.

    5. Save and close the file.

    Test ScanFlow

    1. Print two to three barcode cover sheets.
    2. Place the barcode cover sheets on a collection of pages in which you include deliberate errors for ScanFlow to correct, such as upside down pages, backwards pages, blank pages, and so on.
    3. Run through the scanning process using the test documents that you've prepared to verify that the process works without issues.

Upgrade from 32-bit to 64-bit versions of Adobe Acrobat

Prerequisite

Verify that you have a 64-bit compatible scanner and respective driver.

  1. Uninstall the ScanFlow Add-In.
  2. Uninstall the GoFileRoom Client Add-In.
  3. Be sure all the Client Add-In & ScanFlow folders are empty.
  4. Uninstall all 32-bit version of Adobe Acrobat.

Note: It's recommended to review the Adobe ProgramFiles folder no longer exists (C:\Program Files (x86)\Adobe\Acrobat DC).

Installation

  1. Install a supported 64-bit version of Adobe Acrobat.
  2. Install the most current version of the GoFileRoom Client Add-In (v22.2.8 as of 11/28/22).
  3. Install ScanFlow 22.1.7.

Note: Disable Adobe’s Protected Mode. To disable within Adobe Acrobat, select Edit > Preferences > Security (Enhanced) to see if Enable Protected Mode at startup is marked. If it is, remove the check in the checkbox. The ScanFlow Add-in will be updated on a future release to support Adobe's Protected mode selection.
