Use this dialog to embed variables in the custom letters for Data Mining. Variables are replaced with client-specific information during printing. For example, the [client name] variable is replaced with the client's name when you preview, print, or send the letter as an email attachment.

The letters provided with Data Mining already include variables such as client name and address, but you can insert additional variables if necessary. The types of variables that are available include amount, text, date, and input screen.

To open this dialog, you must first access the Document Editing window. To do so, click the Compose Client Letters button in the Print Selection and Client Search dialog, click the New or Open button in the Data Mining Letters dialog, select the desired criteria, and then click OK. From the Document Editing window, choose Insert > Variable to open the Variables dialog.

Fields & buttons

Select the federal or state product that corresponds to the variable you want to insert in the letter. This list includes all licensed federal and state products within the database you selected from the Data Mining window.

Click the Amount option to list amount variables (such as taxable income) for the selected application.

Click the Text option to show text variables (such as preparer, reviewer, and staff information, firm information, client ID, employer identification number, contact information, and entity type).

Click the Date option to list date variables (including the dates on which returns were due, archived, entered, due on extension, or printed) for the selected application.

Click the Input Screen option to enable the Select field button, which you can click to open the Input Screen Field Selection dialog where input screen fields may be selected as variables.

Click this button to open the Input Screen Field Selection dialog. In this dialog, navigate exactly as you do in UltraTax CS. Highlight a field and click the Select button in the Input Screen Field Selection dialog to select the field as a custom letter variable.

Note: This button is available only when the Input screen option is clicked.

This list contains the variable names and descriptions, based on the option (Amount, Text, or Date) you clicked in the Variables group box. To insert a variable into the custom letter, highlight the variable in the list and then click OK.

Note: When the Input screen option is clicked, no variables will be displayed. To select input screen fields as variables, click the Select field button to open the Input Screen Field Selection dialog.
