Use the Print Selection and Client Search dialog to select what you want to produce from your Data Mining search. You can choose to produce standard or custom reports, letters that you can print or send to clients via email, mailing labels, or export reports. From this dialog, you can choose a search to complete, as well as focus items.

Several reports installed with Data Mining can be used as templates that you can modify to create custom reports. Some of Data Mining's standard reports include the following:

  • CS Client Return Summary - For each client who passed the most recent search, the report shows the client's general information, filing information, and carryover information.
  • CS Client Forms Prepared - For each client who passed the most recent search, the report shows the client's general information, forms printed, and return information.
  • CS Firm Return Summary - Based on the most recent search, the report shows general firm information, forms prepared by the firm, and return information such as the total number of returns prepared and the total number of electronically filed returns.
  • CS Preparer Return Summary - Based on the most recent search, the report shows each preparer's general information and the numbers and types of forms and returns prepared.
  • CS Reviewer Return Summary - Based on the most recent search, the report shows each reviewer's information and the numbers and types of forms worked on by each reviewer.
  • CS Staff Return Summary - Based on the most recent search, the report shows staff information and the numbers and types of forms and returns worked on by each staff person.
  • CS Client Contact Information - Based on the most recent search, the report shows each client's contact information, ID, and filing entity with which they are associated.
  • CS Client Invoice Information - Based on the most recent search, the report shows each client's ID, name, status, invoice number, the date the client's return was printed, and the number of days since the client's return was printed. The report also shows the total invoice amount, invoice payments, and net invoice amount.
  • CS 1040 Client and Dependent Information - Based on the most recent search, the report shows each client's ID, name, relation, dependents, first name, last name, age, and date of birth.
  • CS 1040 Frequency Referral Report - Based on the most recent search, the report shows each client's ID, name, new referral, and referred by information.

To open this dialog from the Data Mining window, select the client database to work in, and then click the Continue (Step 2) button.

Fields & buttons

Click this button to populate the Print Selection and Client Search dialog with the selections from the last search you completed. Alternatively, you can click the arrow next to this button to open the Restore Previously Selected Profiles dialog. From this dialog, you can view and restore previously completed searches, including the search criteria, additional focus items, print destination, print selection, and the clients that passed the search.

Click this button to clear the Print Selection and Client Search dialog of all selected items, such as the reports and/or letters selected to print, mailing labels, an export report, the search name, and additional focus items.

Print selection group box

Click this option to enable a drop-down list from which you can choose between viewing a list of reports or letters to print for the current search.

  • The Reports list displays the standard and custom reports that are available to print with the search results. Highlight a report and click the Select button to move it to the Selected to print pane on the right. Click the Remove button to remove a highlighted report from the Selected to print pane.

    Note: Reports created with an export layout are not available to print. They can only be used to export search results to a file for use with other applications.

  • The Letters list displays the standard and custom client letters that are available to print with the search results. Highlight a letter and click the Select button to move it to the Selected to print pane on the right. Click the Remove button to remove a highlighted letter from the Selected to print pane.

Click this option to produce mailing labels for clients who pass the current search.

Click this option to export a report for clients who pass the current search.

The Available to print pane displays the total number of reports or letters that can be printed.

Lists all reports and letters that have been selected for printing for those clients who passed the search.

  • To add a report or letter to this list, highlight the name of the report in the Reports list or the letter in the Letters list and click the Select button.
  • To remove an item from this list, highlight the report or letter in this list and click the Remove button.

Click the Design Custom Reports button to open the Custom Reports dialog, where you can add new custom reports and open the Custom Report Layout dialog. In the Custom Report Layout dialog, you can create portrait, landscape, or export layouts and select calculated values and input screen fields as report contents.

Before performing any tasks in Data Mining, verify that you have selected the appropriate UltraTax CS database from the Client database drop-down list in the Data Mining window.

Click the Compose Client Letters button to open the Data Mining Letters dialog, where you can create and format client letters and insert a wide range of calculated values and input screen fields as letter variables.

Click this button to open the Data Mining Report Sample dialog where you can view the information that will be included in the selected report.

Note: This button is available only when you have a custom report selected in the Print selection group box.

To select a report or letter, highlight the document in the left pane, and click this button. The highlighted document moves to the right pane.

To remove a report or letter, highlight the document in the right pane, and click this button. The highlighted document moves to the left pane.

Client search/focus group box

Select the product of the search to be performed; all installed products display in the drop-down list.

Select the name of the search to be performed; all the available searches in Data Mining display.

Click this button to open the Add/Modify Searches dialog. From this dialog you can add a new search or select an existing, user-created search to modify.

Note: Predefined searches cannot be modified.

This checkbox is marked by default and includes both the federal and state search criteria that you combined. If you want to use only the federal search criteria, clear this checkbox.

Note: This checkbox displays only if you selected Federal from the Product drop-down list and if the search you selected from the Search name drop-down list is a federal/state combined search.

This section displays the search criteria for the search you selected. The relationship between the criteria displays in this pane as well.

This section displays the focus items that you have selected in the Additional Focus dialog.

Click this button to open the Additional Focus dialog where you can limit the search to include clients assigned to a certain preparer, reviewer, or staff member, clients by a defined fiscal year-end date, or clients for whom particular status events have been logged.

Click this button to return to the Data Mining Window or to Step 1.

Click this button to search your client database.

Click this button to return to the Data Mining Window or to Step 1.

Tip: To print a report showing the search results, create a custom report using the same criteria selected in your search.
