You can use the data sharing features of UltraTax CS to automatically share basic client data between UltraTax CS, other CS Professional Suite applications, and Onvio. Data sharing allows you to enter client information in one application and sends the information to the rest of your applications, which saves time and helps prevent mismatched client information.

What information is shared?

Types of information shared:

  • Client demographic information such as names, addresses, and phone numbers between UltraTax CS, Accounting CS, Practice CS, and Onvio.
  • K1 financial data between UltraTax CS 1040, 1120, 1065 and 1041 clients.
  • W-2, 1099-R, 1099-MISC, 1099-INT, and 1095-C financial data between UltraTax CS 1040 and Accounting CS.
  • Client notes between UltraTax CS, Practice CS, FileCabinet CS, and Fixed Assets CS.

Overview of process

To share data between UltraTax CS and other CS Professional Suite applications:

  1. Set file locations in each program. File locations tell each program where to find data for the other programs in the suite. Data sharing is enabled by default for all UltraTax clients and the process is automatic once data locations are set.
  2. Enter the SSN or EIN in a client.
  3. Enter the rest of the client information into the return as you normally would.
  4. After entering client information into a return, perform a print preview of the return by clicking the preview button.
  5. Close the preview, then close the client.
  6. Each time you open a return, UltraTax checks the data in other clients with the same SSN or EIN. If there is a difference in the data, (for example, two clients with the same SSN have different phone numbers), a dialog will pop up alerting you to the difference.
  7. When a Data Sharing dialog opens, you can accept, discard, or postpone the data changes.

Onvio

UltraTax CS shares demographic client information to Onvio using Onvio Link. Make sure you have the correct data locations specified in each application, then enable data sharing through the Settings screen in Onvio Link.

Onvio Link uses 9-digit EIN/SSNs (including those on K1s, 1099s, W2s, etc.) to create contacts in Onvio Client Center. Only the following information is shared:

  • First, Last name
  • Entity
  • SSN/EIN
  • Address
  • Email
  • Spouse first, last name and email
