Report Designer: Selecting segment codes in reports and financial statements

You can create account segments for the client in the Setup > Account Segments screen of Accounting CS. Account segments are used to divide accounts for use in the Trial Balance view and for reporting purposes in the Report Designer. Segment codes that have previously been set up for a client in the Setup > Account Segments screen can be included in accounting reports or financial statements. Some of the most common account segments include locations, departments, units, funds, projects, and many more.

There are two methods for printing reports by segment code. We recommend that you choose one of the following methods, but not concurrently for the same segment.

Method 1

This method provides a report that includes columns for each segment, similar to a side-by- side comparison.

You can find examples of reports that require this method in the Accounting CS Library. The Balance Sheet - Current Year - Segment Comparison and the Income Statement - Current Year - Segment Comparison are designed to compare separate segment codes in the same report and will need to be modified using the steps below.

  1. In the Report Designer, select the appropriate accounting report or financial statement.
  2. In the design grid, copy and paste the amount columns for each segment that you want to compare.
  3. Highlight a cell or column and then click the Ellipsis Ellipsis button button next to the Segments field in the Cell or Column Properties section of the Design Tools frame.

    Note: Because segment selections apply to account activity, the selected cell or column should contain the [ChartofAccountsActivity.Core.Amount] variable.

  4. In the Segment Selections dialog, select Segment Code from the drop-down list in the Segment filter field; the application displays another drop-down list with filter options.
  5. Select is to select a single segment. (For example, select Segment Code, then is, and then Location 1.)

  6. To add multiple segments in the same cell or column, click the Add Add button button, and then select the appropriate segment codes.
  7. Click OK to close the Segment Selections dialog and return to the Report Designer.

Method 2

This method enables you to filter by one segment at a time from the File > Print or Print Preview Options dialog.

  1. In the Report Designer or Print Reports screen, select the appropriate accounting report or financial statement.
  2. Click File > Print or Print Preview to open the Options dialog.

  3. Click the Segments tab in the Filtering and Sorting section to filter by Segment Code and click OK to print or preview the report.

    Note: If the Segments tab is not available in the Filtering and Sorting section of the Print Reports screen, click the Page Setup button to open the Page Setup dialog, mark the Segments button in the Report tab, and then click OK.
