Use image groups to organize related images, such as the forms required for processing a client's tax return (W-2, 1099, and so on). Follow these steps to add an image group.

Note: Each document that you add must have a unique name within the current drawer, regardless of the folder association. For more information see What are "folders?"

  1. Choose Image > Image Groups.
  2. In the Drawer ID field, select the drawer to which you will add an image group.

Note: If you select multiple drawers, you can choose the Create uniquely named image groups option to create a new image group in the selected drawers even if an existing image group has the same name that you enter in the Image group field. You can also mark the Append images to existing image groups option to append the images to the image group that was selected or entered in the Image group field.

  3. Choose ‹New Image Group› from the Image Group field and enter a name for the group.

Tip: If you will use this name again, you may want to save it to the custom list.

  4. In the Store Image Group in folder(s) list, mark the checkboxes for the folders in which you will store the image group.
  5. Click the Add Image to Group button and choose the appropriate command.
    • From file: Allows you to navigate to and select image files to add to the current group.

      Tips

    • Copy from drawer "‹selected drawer›": Allows you to copy images and/or image groups in the current drawer. FileCabinet CS displays only images that are not part of the selected image group. Mark checkboxes in the Copy dialog to select images and click OK to copy the selected images to the current group.

      Notes

      • Click the Collapse All button to close all expanded folders in the Available Images list.
      • This command is not available if you choose <<Select multiple drawers>> in the Drawer ID field.
    • Move from drawer "‹selected drawer›": Allows you to move images and/or image groups available in the current drawer. FileCabinet CS displays only images that are not part of the selected image group. Mark checkboxes in the Move dialog to select images and click OK to move the selected images to the current group.

      Notes

      • Click the Collapse All button to close all expanded folders in the Available Images list.
      • This command is not available if you choose <<Select multiple drawers>> in the Drawer ID field.
    • From scanner: Allows you to set options for scanning images into the group. Click the Scan button to begin scanning images into the group.
  6. Optional: To have FileCabinet CS automatically label and sort forms, mark the Include In Source Document Processing (OCR) for data extraction and page naming checkbox.
  7. To add a description to the images for the current group, enter a description in the Keywords for searching and annotation group box, and choose one of the following items from the applied to field.
    • Keywords for searching: Choose this item to include a description when performing searches.

Note: This option is selected by default when you enter text in this group box.

    • Keywords and all pages text annotation: Choose this item to include the description in searches and to add the description as a text annotation on all images that are added to the group.
    • Keywords and first page text annotation: Choose this item to include the description in searches and to add the description as a text annotation on the first page only when adding multiple images to the group.
  8. Optional: If you are adding tax documents to the image group and you want to replace the default image names assigned by FileCabinet CS, you can use the buttons beneath the Page name field to change the image name to "W2", "1099", "K-1", "Income Statement", "Balance Sheet", or "IRS".

Tip: You can create custom names for these buttons in the Setup > System Configuration > Image Names tab.

  9. Click Done.
