Once you have either entered the name of a new search or selected an existing custom search to edit, you will edit search criteria that you believe will gain the search results you desire. When you edit search criteria, you specify the pieces of data that are relevant to the search of the client database you selected from the Data Mining window. Search criteria are then selected and combined into logical combinations (called search formulas) to form searches. Clients pass a search when their data meets the search criteria and search formula you have defined.

When you have a clear idea of what type of clients you are searching for and what criteria those clients have in common, define the search criteria that are most relevant to the clients you want to find.

You can define the following types of search criteria used in Data Mining searches.

  • Forms criteria — Forms associated with client returns. Data Mining can search for clients for whom a specific form or schedule was prepared, or for clients for whom a specific form or schedule was not prepared. You do not edit forms criteria, but select them when you build a search.
  • Calculated values criteria - Values such as amounts or dates that are automatically calculated by UltraTax CS. For any calculated value listed in the Add/Modify Search Criteria dialog, you can specify a number or range of numbers that Data Mining uses in a search.

    Note: Forms criteria and calculated values criteria are available only for clients whose returns have been calculated.

  • Input screen field criteria — Data entered in input screen or statement dialog fields. You can define the acceptable data entries that Data Mining uses in a search for any input screen or statement field which you add to the Available criteria list in the Add/Modify Search Criteria dialog.
  • State Attachment criteria — Data Mining can search for clients for whom a specific state return is attached or not attached. (Available only when a State is selected from the Product drop-down menu.)
  • Return type criteria — Return types associated with client returns. Data Mining can search for clients for whom a specific return type was prepared. (Available only when Federal is selected from the Product drop-down menu.) 
  • Client status criteria — Client status events associated with client returns. Data Mining can search for clients for whom a specific status event was logged, or for clients for whom a specific status event was not logged. (Available only when Federal is selected from the Product drop-down menu.)
