Use the following procedure to add an engagement binder in Workpapers CS.

  1. Choose Setup > Engagement Binders, or click the engagement binder briefcase Briefcase icon button in the Engagement Binders Tree portlet of the Workpapers Dashboard.
  2. Click the Add button to open the Add Engagement Binder dialog.
  3. Enter a name for the new engagement binder.
  4. Select an engagement type from the list.
  5. Select New, Existing, UltraTax CS, or GoSystem Tax in the Source field.

When you select Existing, two more fields appear in the Source Data section.

    • Client. Choose a client from the list of existing clients in the firm — one in which engagement binders have been created.
    • Engagement binder. Choose an engagement binder from the selected client that best suits your needs, and that you can use as a template for the new binder.

Note: The complete folder structure and all workpapers are copied into the Engagement Binders Tree portlet for the selected client.

  6. Click OK to close the Add Engagement Binder dialog.
  7. Select the Status (Active is the default setting).
  8. Select the Period ending date.
  9. Enter the beginning and ending dates for the current engagement or click the Selection button button to select the date from an onscreen calendar.
  10. Specify which staff members will access the engagement binder based on their staff and group privileges - All staff or Selected staff.
  11. Mark the checkbox next to the staff members who require access to the current engagement binder.
  12. If you are licensed for and have installed PPC's SMART Practice Aids with the Fieldwork module, click the PPC tab to link your engagement to a SMART Practice Aid engagement. For details, see Linking engagements to PPC's SMART Practice Aids.
  13. Click Enter, and then Done to complete the task of creating a new engagement binder.

Notes

  • Staff working in an engagement must have the appropriate security privileges so that their Staff IDs appear in the Staff Assignment grid. Refer to the following security topics for more information.
  • When you choose UltraTax CS or GoSystem Tax as the source when setting up a new engagement, an identical tax folder structure is automatically created in the Engagement Binders Tree portlet for the following entity types: 1040, 1041, 1065, 1065PR (UltraTax CS only), 1120, 1120PR (UltraTax CS only), 1120S, 1120SPR (UltraTax CS only), 5500, 990, and 990PF (UltraTax CS only). You can change the tax entity type on the Accounting Information tab of the Clients screen.

Note: A Source Document Processing folder is automatically created in the Engagement Binders Tree view when you choose to create an engagement for a 1040 tax return enagement client.

  • You can add a new engagement binder or modify an existing engagement binder directly in the Workpapers Dashboard. To do this, right-click the engagement binder briefcase Briefcase icon icon in the Engagement Binders Tree portlet and choose Properties.
  • The application displays the name of the engagement binder next to the document icon in the Engagement Binders Tree portlet.
  • The date and frequency for the engagement binder will determine the dates used in the current engagement binder for Excel workpapers, reports, financial statements, and so forth. The period ending date and period frequency are based on the number of periods, current fiscal year end (or period end dates), and period frequency defined in the Setup > Clients > Accounting Information tab.
