Scan Pages dialog [Image menu]

Use this dialog to set preferences for scanning an image, including choosing the destination of scanned pages, adding descriptions for scanned pages, changing the orientation of scanned pages, and choosing a scanner. See Scanning documents for more information on scanning.

To open this dialog, choose Image > Scan.

Retrieving data from scanned documents with the FileCabinet CS Source Document module

Fields & buttons

From this field, select the type of scanner (TWAIN or WIA) that you will use to scan documents into FileCabinet CS. Then, click the Select button to select the default scanner.

Note: If you are using FileCabinet CS in a Virtual Office CS or SaaS environment, you must use a TWAIN-compliant scanner.

Click this button to open the Scan Options dialog, where you can set options to reduce the image size when saved to disk, to optimize the reduced image for color or black and white pages, and to invert color for scanned pages.

Select from this field the ID for the drawer in which you will store scanned pages, or choose <<Select multiple drawers>>.

If you want to add scanned images to an image group contained in the current drawer, enter the image group name in this field, or choose an image group from the drop-down list. To create a new image group, enter a name for the new image group in this field.

Undo back arrow Click this button to undo an entry in the Image Group field. This button is enabled only after you enter text in the Image Group field.

Plus icon with a pencil Click this button to save the name you entered in the Image Group field to a custom list. See Adding and maintaining document, image, and object names in a custom list for more information on adding names to the custom list.

Mark this checkbox to include the image group in the transfer source-document processing. This checkbox is only enabled if your firm is licensed for source-document processing features.

Select this option to append the images to the existing image group that was selected or entered in the Image Group field.

Notes

  • This option is available only when multiple drawers are selected in the Drawer ID field.
  • If there is not an image group in the selected drawers that match the text entered in the Image Group field, FileCabinet CS will create a new image group.

Select this option to create a new image group in the selected drawers, even if there is an image group with the same name in one of the selected drawers.

Notes

  • This option is only available when multiple drawers are selected in the Drawer ID field.
  • If there is an image group in the selected drawers that matches the text entered in the Image Group field, FileCabinet CS will create a new image group (named Copy 2). FileCabinet CS will not overwrite the existing image group.

Mark the checkbox for each folder that should contain a copy of the scanned image.

Note: Folders used in the current drawer appear at the top of the folder list, followed by a separator line, and then followed by the list of remaining folders (those not in use in the current drawer).

Click this button to scan an image using the current settings in the Scan Pages dialog.

Keywords for searching and annotation

Enter text to be used as keywords for searching and/or as an annotation on the scanned image.

By choosing from the items in this field, you can apply the description you entered to the following:

  • Keywords for searching: FileCabinet CS uses this description when you perform searches.
  • Keywords and all pages text annotation: FileCabinet CS includes the description in searches and adds the description as a text annotation on all pages of a multiple-page scanned image.
  • Keywords and first page text annotation: FileCabinet CS includes the description in searches and adds the description as a text annotation on the first page only of a multiple-page scanned image.

    Note: When you enter text in the Keywords for searching and annotation pane, FileCabinet CS selects Keywords for searching in the applied to field.

Image group contents (appears after initial scan)

Images for the current group are listed in this pane.

Click the Sort images ascending button to sort images in ascending order. Click the Default image order button to sort images in the order of the default naming buttons. Click the Sort images in OCR order button to sort images in the order of the document types on the Setup > System Configuration > source (OCR) tab.

Click this button to append the selected image or subgroup to the preceding image or subgroup.

Click this button to rename the selected image or subgroup using the ‹Image group name›: Page ‹n› format.

Click the Red X button to delete images selected in the Image names list.

Click the Remove image from subgroup button to separate the selected image from its subgroup.

Click the Paper with charts button to group the selected images together.

Note: This button is enabled only after you select multiple images.

Click the Reassign image button button to open the Reassign Image dialog, where you can choose options for reassigning the selected image to another image group or drawer.

Move images in the list

Use these buttons to move the selected image up or down in the Image names list.

Notes

  • If the selected image is the first page of an image subgroup, the Scroll buttons move the entire subgroup up or down.
  • If the selected image is the last page of an image subgroup, the down scroll button moves the entire subgroup down and the up scroll button moves the last page up within the image subgroup.

The name of the image that you selected in the Image names list appears in this field. To change the name of the selected image, update the text in this field or enter a new name. You can also change image names using the default naming buttons beneath this field.

Undo button

Click this button to undo any changes you made in the Image name or Page name field. This button is enabled only when you have entered a name other than the default name.

Use these buttons to change the name of the selected image to "W2," "1099," "K1," "Income Statement," "Balance Sheet," or "IRS."

Tip: You can add, edit, or delete default naming buttons by choosing Setup > System Configuration, and clicking the Image Names tab.

Note: If the number of default naming buttons exceeds the available space in this dialog, a More button appears. Click the more button to access additional buttons that do not appear in the dialog.

When this checkbox is marked, a large preview window opens for each page you click in the Image group contents pane. You can close the large preview window by clicking the Close button in the lower-left corner of the preview window. Unmark this checkbox to disable the large preview feature.

Displays the image that you selected in the image names list. You can use the Zoom Area feature to view magnified areas of the selected image.

When you position the cursor over the Image preview pane in the Image Groups or Copy dialogs, the cursor becomes a magnifying glass and a magnified image area appears. You can move the zoom area vertically and horizontally with the mouse to view magnified segments of the selected image. This is useful for viewing small text in a scanned document.

Notes

  • To increase or decrease the size of the zoom area, move the cursor to the left edge of the Image preview pane until the up and down arrow buttons appear Zoom area size adjust and click the up or down arrow buttons.
  • To increase the magnification in the zoom area, click the Increase magnification button. Click the Decrease magnification button to decrease the magnification.

Rotate all images left

Click this button to rotate all images in the current group 90 degrees to the left.

Rotate selected images left

Click this button to rotate images selected in the Image names list 90 degrees to the left.

Click this button to continue scanning.
