Importing data from GoSystem Tax RS

Use the following procedure to import client data from GoSystem Tax RS to Planner CS.

Note: The ability to import data from GoSystem Tax RS is typically available with the March update release of Planner CS.

  1. In the GoSystem Tax RS Browser window, click the Returns Processing link in the main menu at the top of the page.
  2. In the menu on the left, click the Import/Export link to expand the list of options.
  3. Under Import/Export, click the Export link.
  4. Select Planner CS from the drop-down list at the top of the window.
  5. Specify the following options to narrow the list of returns whose data will be available for export.

    • Select the account number from the Account drop-down list.
    • Select the tax year from the Year drop-down list.
    • Click the 1040 return type option if it is not already selected.
    • If desired, select any additional options to narrow the list of returns.
  6. Click Continue. A list of returns that match the search criteria will be displayed.
  7. Mark the checkbox for any return whose data you want import into Planner CS.
  8. Click Continue.
  9. The Planner CS Export screen summarizes the returns that were exported. Notice the Export Batch Job number. Record this number for future reference; you will need the number to locate the file that contains the exported return data, as detailed later in this procedure.
  10. Click Close.
  11. Select Planner CS from the Select Export Type drop-down list.
  12. Click the Batch Status button.
  13. The current date is automatically entered in the Batch Status group box. If desired, change the default entry if you want to locate exported data that was generated on an earlier date or during a range of dates.
  14. Click Continue. A list of Planner CS export information is displayed.
  15. Click the link in the Batch ID column that matches the Export Batch Job number you recorded earlier. A Planner CS Export screen opens showing the export status of each return associated with the batch ID.

    The text "File Export Complete" will appear in the Export Status column for each return whose export file was successfully created. If "File Export Complete" does not appear for a return whose data you want to export, click Cancel and repeat this step.

  16. Click the link in the Return column to download exported data for a specific return, or click the Download All button to download exported data for all listed returns.
  17. In the Browse for Folder dialog, navigate to the location where you want to save the export data file, then click OK. Each exported data file will be named *.IT, where * matches the name of the return's locator ID.
  18. When prompted, click OK to confirm the download is complete.
  19. Close the Planner CS Export screen and then log out of GoSystem Tax RS.
  20. In Planner CS, choose Tools > Import Plan from GoSystem Tax.
  21. In the Select GoSystem Tax file to import dialog, browse to the location of the exported file, highlight the file, and click the Open button. The Import Client Data dialog opens.

    Note: If you are running Planner CS through Virtual Office CS or Software as a Service (SaaS), you can navigate to files on your local network.

  22. In the Import Client Data dialog, click one of the options to import data into a new plan or an existing plan.

    Tip: If the client has an existing plan that includes data-entry projections for future years, you may want to choose the New Plan option and enter a new plan ID. This allows your existing plan to retain its future-year projections.

  23. Do one of the following:

    Importing data into a new plan

    1. In the General tab of the Import New Plan dialog, the GoSystem Tax RS locator ID is automatically entered into the Plan ID field. You can keep this plan ID or enter a different ID.

      Note: If you enter a Plan ID that is identical to the ID of an existing plan in Planner CS, you will be prompted to enter a new, unique ID.

    2. Assign a preparer to the plan by selecting a preparer from the Assigned to drop-down list, or select <Default> if you do not want to specify a preparer for the new plan.

      Note: The current preparer is automatically entered in this field by default.

    3. Do one of the following to create a basic plan, family plan, an annualized plan, or an S Corp Comparison plan.

      1. Enter the number of alternatives to include in the new plan in the Number of Alternatives field.
      2. Enter the number of years to include in the new plan in the Number of Years field.
      3. Optional: If you want to display the data for the first plan year in one Base Year column next to the alternatives and future years in the plan, mark the Display single base year checkbox in the Options group box. (Note that this checkbox is not available when the Family Plan or Annualized Plan checkbox is marked, or when the plan includes only one alternative or year.)
      4. Optional: If you want to copy the plan data to all alternatives and/or years in the new plan, mark the Copy across all alternatives and/or Copy across all years checkbox. (Note that these checkboxes are not available when the Family Plan, Display single base year, or Annualized Plan checkbox is marked.)
      1. Mark the Family Plan checkbox in the Options group box. (Note that this checkbox is not available when the Annualized Plan checkbox is marked.)
      2. Enter the year of the new plan in the Plan Year field.

        Note: Family plans are always one-year plans.

      3. Enter the number of children in the Number of Children field.
      4. Optional: To change the default name of a child in the plan, click the Children's Names tab, highlight the default name of a child (for example, Child 1) in the Children Included in Plan pane, and then enter a new name in the Child's Name field.
      1. Mark the Annualized Plan checkbox. (Note that this checkbox is not available when the Family Plan checkbox is marked.)
      2. Enter the year of the new plan in the Plan Year field.

        Note: Annualized plans are always one-year plans.

      1. Mark the S Corp Comparison checkbox.
      2. Enter the year of the new plan in the Plan Year field. You can enter the export year or a subsequent year.

        Note: S Corp Comparison plans are always one-year, two-alternative plans.

    4. Do any of the following optional steps.

      • Enter a description in the Plan Description field. When you open a plan via the Open Plan dialog, this information appears in the Plan Description field when the plan is highlighted.
      • Enter a keyword in the Keyword field to help distinguish this plan from other plans. Keywords can be used to search or sort the list of available plans when opening plans via the Open Plan dialog.
      • Select the taxpayer's resident state, if licensed, from the drop-down list. (Note that this field is not available when the Annualized Plan checkbox is marked.)
      • To select nonresident states, if licensed, click the Nonresident States button, mark the applicable state checkboxes, and click OK. (Note that this button is not available when the Annualized Plan checkbox is marked.)
      • Click the Set Password button and enter a password if you want to password-protect plan data.
      • Click the Client Information tab and enter information such as client name, address, Social Security number, and date of birth.

        Note: The taxpayer's and spouse's dates of birth are used in various federal and state calculations.

    5. The name, Social Security number, date of birth, and address from the GoSystem Tax RS client will import automatically to Planner CS. Click the Client Information tab to view or modify this information.
    6. Click OK. Planner CS creates the data file and automatically opens the main data-entry window for the new plan.

    Importing data into an existing plan

    1. In the Import to Existing Plan dialog, select a "destination" plan from the list of existing plans. If a plan already exists for the GoSystem Tax RS locator ID, it will be highlighted. If the client has more than one plan, scroll through the list to choose a different destination plan.

      Notes

      • The "current tax year" is defined as the year of the GoSystem Tax RS client being imported. For example, if you are importing client data from tax year 2017, the current tax year is 2017.
      • The first plan year must be before or equal to the current tax year. For example, if the GoSystem Tax RS client's tax year is 2017, and the destination plan's years range from 2018-2020, an import will not be allowed. In this example, the first plan year must be 2017 or earlier.
      • If the last year in the destination plan's range of years is prior to the current tax year, Planner CS will automatically add years to the plan up to the current tax year.
      • If the destination plan already includes the current tax year or later years, and the Create a new alternative for import checkbox is not marked, Planner CS must clear all data from these years, in each alternative, in order to import the new GoSystem Tax RS data. For example, if the destination plan includes the years 2014-2018, and the current tax year of the GoSystem Tax RS client is 2017, data entered into the plan's 2014-2016 years would remain as entered, but Planner CS will delete the 2018-2018 data prior to import.
      • The destination plan cannot be an annualized plan or a family plan.
    2. If you want to delete plan years prior to the specified year for all alternatives, mark the Delete years prior to [year] checkbox.

      Note: The year in the Delete years prior to [year] checkbox will change based on the year of the tax return being imported.

    3. If you want to create a new alternative into which the client data will be imported, mark the Create a new alternative for import checkbox. If you do not mark this checkbox, Planner CS will overwrite data in the selected plan for the current tax year of the GoSystem Tax RS client.
    4. Click OK. A warning dialog will open if the destination plan already includes information for the destination year or subsequent years, and the Create a new alternative for import checkbox is not marked.

      If a warning dialog opens, click OK to proceed with the import. The current tax year data will then import to the current year of the plan in each plan alternative, or to a new alternative for the selected plan if the Create a new alternative for import checkbox is marked.

    5. The Activities Import dialog will open if the GoSystem Tax RS client includes business activities that did not exist in the destination plan prior to import. Click OK to complete the import.

      Note: You can review imported business activities data in the plan by clicking the Activities button when the plan is open.

If a firm wants to test the GST import on a trial version of Planner CS, you can take the following steps: 

  1. Make a copy of any license file from your WinCSI\LICENSES folder.
  2. Rename the file to NYGTNAME.DAT, where Y is the year of GST they're trying to import. 
  3. Send the license file to the firm licensee via Secure Data Exchange.
  4. Have the firm paste the license file into their WinCSI\LICENSES folder.
