For payroll compliance (annually licensed)

General information

To process and print multiple forms for multiple clients, use the Actions > Process Payroll Tax Forms screen.

To view or modify Form 94x data for a client and to print the forms for only the currently selected client, use the Actions > Edit Payroll Tax Forms screen. In this screen, you can also check your form(s) for errors or missing information and view critical and informational diagnostic messages at the bottom of the screen.

Notes

  • If the Do Not File checkbox is marked for a client's form in the Federal 94X grid within the Forms section of the Payroll Taxes tab of the Clients screen, the form will not be available for editing or processing.
  • If the Payroll tax form start date (entered in the Miscellaneous Information section of the Payroll Information tab of the Clients screen) is beyond a form's period end date, the form cannot be processed until after that period end date.
  • Clients that have an Inactive date (entered in the Client Information section of the Main tab of the Clients screen) that is prior to the form's period begin date will be filtered out of the Process Payroll Tax Forms screen.

Form 940, Employer's Annual Federal Tax Return

Use Form 940 to report an employer's unemployment tax liability. The application provides:

  • Form 940 - Employer's Annual Federal Unemployment (FUTA) Tax Return
  • Form 940-Schedule A - Schedule A (Form 940)
  • Form 940-V - Payment Voucher

Notes

  • Form 940-V is available for processing only if an amount is due on Form 940.
  • Form 940-Schedule A is available for processing if there are taxable wages for employees in a state that is designated as a credit reduction state for that year or if the client has a business that pays SUI in multiple states. (The final credit reduction for any given year is determined on November 10 of that year. See the US Department of Labor's FUTA Credit Reductions page to view a list of potential credit reduction states for the current year. We will update the form in Accounting CS for the fourth quarter update to make the appropriate credit reduction states available for editing on the form.)
  • To make the amounts on Form 940 balance to a zero amount, you must follow these steps before you print your 940 forms.
    1. Process liability adjustments with the Clear form overrides checkbox marked.
    2. Pay the liabilities.

Form 941, Employer's Quarterly Federal Tax Return

Use Form 941 to report an employer's tax liability. The application provides:

  • Form 941 - Employer's Quarterly Federal Tax Return
  • Form 941 (Schedule B) - Employer's Record of Federal Tax Liability
  • Form 941 Schedule D - Employer's Record of Discrepancies Caused by Acquisitions, Statutory Mergers, or Consolidations
  • Form 941-V - Payment Voucher

Notes

  • Form 941 is available for processing only when the Employer type for the client is set to Regular (941) or Regular (941) and Agriculture (943) in the Federal section of the Payroll Taxes tab of the Clients screen.
  • Schedule B is available for processing only when Semiweekly is selected in the Deposit Schedule field in the Federal section of the Payroll Taxes tab of the Clients screen and Line 16 Box 1 is not marked. If you want the application to never mark Line 16, Box 1, mark the Ignore deposit threshold when calculating Line 16 checkbox in the 94X Additional Information dialog.
  • Form 941-V - Payment Voucher is available for processing only when an amount is due on Form 941.
  • Form 941 Schedule D is a user-completed form. Choose Actions > Edit Payroll Tax Forms to enter the appropriate information. Although Schedule D is normally filed just once per year, you can file it at the end of any quarter during the year if it is being filed for a business that is closing due to a merger or acquisition.

     

    Schedule D is available for processing only when the Do Not File checkbox is unmarked in the Forms section of the Payroll Taxes tab of the Clients screen. The checkbox is marked for all clients by default.
  • An informational diagnostic will display if there is a balance due or there are open liabilities, or if there is an overpayment carried from Form 941-X.

Form 943, Employer's Annual Tax Return for Agricultural Employers

Use Form 943 to report withheld income tax and employer and employee social security and Medicare taxes on wages paid to farm workers. The application provides:

  • Form 943 - Employer's Annual Tax Return for Agricultural Employers
  • Form 943-V - Form 943 Payment Voucher
  • Form 943-A - Agricultural Employer's Record of Federal Liability

Notes

  • Form 943 is available for processing only when the Employer type for the client is set to Agricultural (943), Regular (941) and Agriculture (943), or Regular (944) and Agriculture (943) in the Federal section of the Payroll Taxes tab of the Clients screen.
  • Form 943-V is available for processing only if there is an amount due on Form 943.
  • Form 943-A is available for processing only if the 943 deposit schedule is set up as Semiweekly in the Federal section of the Payroll Taxes tab of the Clients screen.
  • Form 943 includes only agricultural employee payroll checks. You can designate employees as agricultural on the Main tab of the Setup > Employees screen.
  • An informational diagnostic will display if there is an overpayment carried from Form 943-X.

Form 944, Employer's Annual Federal Tax Return

Use Form 944 to report an employer's tax liability. The application provides:

  • Form 944 - Employer's Annual Federal Tax Return
  • Form 944-V - Form 944 Payment Voucher

Notes

  • Form 944 is available for processing only when the Employer type for the client is set to Regular (944) or Regular (944) and Agriculture (943) in the Federal section of the Payroll Taxes tab of the Clients screen.
  • Form 944-V - Payment Voucher is available only when an amount is due on Form 944.
  • An informational diagnostic will display if there is an overpayment carried from Form 944-X.

Form 945, Annual Return of Withheld Federal Income Tax

Use Form 945 to report withholding amounts from Forms 1099 and W-2G. The application provides:

  • Form 945 - Annual Return of Withheld Federal Income Tax
  • Form 945-V - Form 945 Payment Voucher
  • Form 945-A - Annual Record of Federal Tax Liability

Notes

  • Form 945 is available for processing only when the Do Not File checkbox is unmarked in the Forms section of the Payroll Taxes tab of the Clients screen. By default, this checkbox is marked for all clients.
  • Form 945-V - Payment Voucher is available only when there is an amount due for Form 945.
  • Form 945-A is available only when the deposit schedule for the client is set up as Semiweekly for the 945 tax agent in the Agent tab of the Setup > Vendors screen and when line 3 on Form 945 is greater than $2,500.
  • Form 945 includes only payroll check amounts for independent contractor employee. The amounts display either on line 13 or line 14, depending on whether or not the employee is set up for backup withholding. Choose this option on the Payroll Taxes tab of the Employees screen.
  • An informational diagnostic will display if there is an overpayment carried from Form 945-X.
